The Office Manager role at Roach & Associates exists to alleviate the invoicing and administrative burdens currently handled by senior leadership, enabling them to focus on strategic objectives. As a key player in the firm’s administrative backbone, you will have a direct impact on operational efficiency and client interactions. What you’ll do Invoicing and Billing Management: Oversee invoicing, billing, and payment processes to ensure accuracy and timeliness. Office Administration: Manage office supplies, payroll support, and insurance renewals to ensure smooth daily operations. Front Desk Coordination: Serve as the first point of contact for clients and visitors, maintaining a welcoming and professional atmosphere. Conference Room Management: Coordinate scheduling, preparation, and reservations for meetings to support client and team needs. Client Experience Support: Provide exceptional client‑facing service, ensuring a positive and professional experience for all visitors. Process Improvement: Identify and propose enhancements to existing procedures, contributing to the firm’s operational efficiency. Collaboration: Work closely with IT and other team members, ensuring administrative tasks are completed effectively. Confidentiality Management: Safeguard sensitive information and maintain the confidentiality of the firm’s finances. What we’re looking for Administrative Experience: Demonstrated experience in office management and administration, including invoicing and billing tasks. Client Service Skills: Strong client‑facing skills with an ability to maintain professionalism under pressure. Technical Proficiency: Proficient with Microsoft Office 365, Adobe PDF, and Dropbox. Organizational Skills: Ability to manage multiple tasks and priorities efficiently. Initiative: Self‑starter attitude with the ability to work independently and propose solutions.
