Overview

Qualifications Required

• High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
• Minimum of two years of experience in human resources, payroll, billing, office administration, or a related field.
• Demonstrated experience using Microsoft Excel and other Microsoft Office applications.
• Experience utilizing UKG (Ultimate Kronos Group) or a similar HRIS/payroll system.
• Experience with billing, invoicing, record management, and administrative processes.
• Strong organizational and time-management skills with exceptional attention to detail.
• Excellent verbal and written communication skills.
• Strong customer service and interpersonal skills.
• Ability to manage multiple priorities while meeting deadlines.
• High level of professionalism, discretion, and confidentiality.
• Ability to work collaboratively with multiple leaders and departments.
• Proficiency with web-based software and technology platforms.
• Ability to successfully pass a comprehensive background check.

Preferred

• Bachelor's degree in Business Administration, Human Resources, Education, or a related field.
• Experience working in a childcare, Montessori, private school, or early childhood education environment.
• Familiarity with DECAL/BFTS licensing requirements and compliance standards.
• Experience supporting HR, payroll, licensing, and operational functions simultaneously.

Essential Duties and Responsibilities Human Resources Administration

• Coordinate all aspects of the onboarding process for new employees, including collection and verification of required employment documentation.
• Prepare offer letters, new hire paperwork, and onboarding materials.
• Maintain accurate and compliant employee electronic files and personnel records.
• Process employee status changes, including promotions, compensation changes, transfers, leave requests, and separations.
• Manage employee change requests and ensure timely updates within UKG and other systems.
• Support employee background check processes and employment verifications.
• Assist with benefits enrollment administration and employee documentation.
• Support leave administration, including FMLA, personal leaves, and other employee leave requests.
• Assist with unemployment documentation and related administrative processes.
• Maintain confidentiality of employee, student, and company information at all times.

Recruitment Support

• Assist with recruiting activities, including posting positions, screening documentation, coordinating interviews, and tracking candidates.
• Support hiring events, job fairs, and recruiting initiatives.
• Assist school leaders in maintaining staffing records and recruitment reporting.

Compliance & Licensing

• Ensure employee records and credentials remain compliant with all company, state, and licensing requirements.
• Support DECAL/BFTS licensing compliance by maintaining required employee and operational documentation.
• Track training, certifications, background checks, and continuing education requirements.
• Prepare records and documentation for audits, licensing visits, and regulatory reviews.
• Partner with school leadership to ensure ongoing compliance with company policies and state regulations.

Payroll, UKG & Reporting

• Maintain employee records within UKG and other HR information systems.
• Support payroll-related administrative functions and employee inquiries.
• Generate reports and analyze workforce data as requested by leadership.
• Ensure data integrity and accuracy across HR, payroll, and compliance systems.
• Utilize Microsoft Excel to create reports, track trends, and support operational decision-making.

Billing & Administrative Support

• Manage billing processes and maintain accurate financial records.
• Prepare invoices and support account reconciliation activities.
• Organize and maintain administrative records and documentation.
• Provide administrative support to school leadership and corporate partners as needed.
• Assist with special projects and operational initiatives.

Communications & Employee Support

• Coordinate employee communications and distribute important company information.
• Maintain employee and family contact lists and communication records.
• Support communication workflows and administrative systems to ensure information is distributed accurately and efficiently.
• Serve as a professional and responsive resource for employee and family inquiries.
• Foster a positive customer service experience for families, employees, and vendors.

School Operations

• Support daily school operations and front office functions as needed.
• Oversee and assist with morning and/or afternoon carpool operations to ensure safe and efficient student arrival and dismissal.
• Coordinate administrative tasks that contribute to the smooth operation of assigned school locations.
• Collaborate with school leadership teams to support operational excellence and family satisfaction.

This role serves as a key administrative partner to school leadership by ensuring compliance with personnel and licensing requirements, maintaining accurate employee records, supporting financial and HR processes, and providing exceptional customer service to employees and families.
