Pay Rate: $25.00 - $30.00 / Per hour dependent on applicable experience

Position Summary


We are seeking a highly organized Accounts Payable Specialist to support a fastpaced, highvolume AP function within a purchaseorder-driven environment. This role is ideal for a detailoriented professional with deep experience in 3way matching, vendor invoice processing, and monthend AP close activities, including reconciliations to the general ledger.

The AP Specialist will be a key contributor to accurate financial reporting and timely period close, working closely with accounting, procurement, and operations teams.

Key Responsibilities


Accounts Payable Operations

• Process a high volume of vendor invoices accurately and efficiently in a PObased environment
• Perform 3way matching (purchase order, receiving documentation, and invoice) to ensure pricing, quantities, and terms are correct
• Review invoices for proper approvals, account coding, and compliance with internal policies
• Investigate and resolve invoice discrepancies, including price variances, quantity issues, and missing or incomplete documentation
• Manage vendor maintenance, including new vendor setup, W9 collection, and updates to vendor records
• Respond to vendor inquiries regarding invoice status, payment timing, and discrepancies
• Prepare and support weekly and biweekly payment runs (ACH, check, wire)

MonthEnd Close & AP Accounting

• Support the monthend close process related to accounts payable with a strong focus on accuracy and timeliness
• Prepare APrelated journal entries, including accruals for uninvoiced receipts and expense cutoff
• Reconcile accounts payable subledger to the general ledger monthly; identify, research, and resolve reconciling items
• Assist with AP aging reviews and ensure liabilities are stated accurately at period end
• Support internal and external audit requests by preparing schedules, documentation, and reconciliations

CrossFunctional Collaboration

• Partner with purchasing and operations teams to resolve PO and receiving issues
• Communicate clearly with internal stakeholders to ensure timely resolution of AP questions
• Contribute to continuous improvement of AP processes, controls, and documentation

Qualifications

• 3+ years of accounts payable experience, with direct exposure to highvolume invoice processing
• Proven experience in a purchaseorder and 3waymatching AP environment
• Strong understanding of AP's role in monthend close and GL reconciliation
• Experience preparing accruals and supporting APrelated journal entries
• High level of accuracy, attention to detail, and organizational skills
• Ability to manage deadlines and prioritize work independently
• Proficiency with ERP/accounting systems and Microsoft Excel
• Strong communication and problemsolving skills
