Vibee - Seasonal Project Manager

Job Summary Do you enjoy live events and thrive in fast‑paced, creative environments? We are looking for a highly motivated self‑starter who embodies both a passion for music and a love of the live event experience. Role Contract Project Manager – responsible for planning and execution of Vibee curated experience events and festival integrations worldwide. This position reports to the President and Senior Vice President, Business Operations and is for an up to six‑month term. Responsibilities Project management support: track timelines, project progress, and provide updates to stakeholders. Assist in labor schedules and budgets with guidance from the Senior Producer and production team. Coordinate on‑site schedules and distribute task lists to ensure smooth execution of builds and strikes. Support site operations with equipment auditing and tracking as needed. Assist with special projects assigned by the executive lead or production manager. Reporting: prepare cash spending reports, P‑Card tracking, and per diem coordination with the finance team. Assist in gathering quotes, tracking expenses, and supporting invoice reconciliation after events. Administration: manage seasonal staff roster, onboarding, timekeeping, and payroll functions for seasonal staff. Prepare documents such as day sheets, dispatch guides, and other materials for site operations and production teams. Manage project management programs and ensure deadlines are met from program ideation to execution. Act as a key point of contact for internal communication and collaborate with FOH and BOH teams. Qualifications 3–5 years of experience in live event production or project coordination; large‑scale event experience is a plus. Ability to manage project timelines and communicate effectively with teams. Familiarity with Google Suite, Airtable, and Asana. Collaborative team player who adapts to rapidly changing environments. Strong organizational skills and attention to detail. Ability to handle occasional physical tasks and on‑site event support. Work Environment Flexibility to work evenings and weekends as needed. Ability to work in busy, noisy environments. Requirement to travel to event sites as needed. May involve lifting up to 20 pounds. Must maintain strict confidentiality regarding sensitive company information.
