Contracts Administrator
$65kOur client, a premier global luxury hospitality and development firm, is seeking a meticulous and analytical Contracts Administrator to join their fast-paced project finance team. Operating within a high-intensity, deadline-driven environment, this role is critical to mitigating financial risk and ensuring seamless international operations. The successful candidate will act as the final line of defense for contract execution and compliance. They will oversee the end-to-end vendor onboarding ecosystem, manage system integrations, and audit financial documentation. This position requires an individual who thrives managing complex contracts, possesses exceptional research capabilities, and can communicate with direct clarity. Required Qualifications

- Experience: Minimum of five (5) to eight (8) years of dedicated contract review or project finance administration experience.
- Education: Bachelor’s degree in Business Administration, Finance, Law, or a related field.
- Systems & Tools: Highly proficient with enterprise ERP systems and cost management software (experience with PeopleSoft/Oracle Cloud or Trimble ProjectSight is a significant advantage).
- Data Literacy: Mid-level Excel skills with the ability to construct, navigate, and audit complex templates, conditional formatting, and billing worksheets.
- Core Competencies: Exceptional attention to detail, advanced self-directed research skills, and the capability to work with a high degree of independence.
- Direct experience handling consultant contracts, AIA billing formats, contractor/subcontractor billings, and lien releases.
- Background operating within the construction, hospitality, or resort/gaming sectors.
- Experience handling multi-currency transactions and accounting for foreign currency fluctuations.

- Final Review & Execution: Conduct the final critical review, risk assessment, and execution of all contracts across corporate, legal, and operational departments.
- Compliance Oversight: Verify absolute contract compliance with applicable laws, regulatory requirements, and internal corporate policies.
- Financial Impact Assessment: Analyze and report on the financial implications, benefits, downsides, and budgetary impacts of proposed agreements prior to signing.
- Timeline Tracking: Maintain comprehensive contract documentation and rigorously track renewal dates, critical milestones, and deadlines to prevent lapses in coverage.
- International Vendor Onboarding: Manage the end-to-end vendor registration process, meticulously verifying international banking structures, tax documentation, and security protocols (e.g., SWIFT codes, IBAN numbers).
- Cross-System Synchronization: Ensure accurate data mapping and synchronization across the enterprise tech stack, troubleshooting integration errors between systems.
- Internal Stakeholder Coordination: Serve as a proactive liaison between project managers, vice presidents, finance, and legal teams to flush out missing information and resolve discrepancies professionally.
