Billing Specialist

Overview A leading law firm is seeking a Billing Specialist to support attorneys and clients with the preparation and processing of invoices. This role ensures that billing is completed accurately, timely, and in accordance with client agreements and firm policies. The Billing Specialist serves as a key liaison between attorneys and accounting teams, helping to resolve billing issues, maintain compliance with guidelines, and support overall financial operations. Responsibilities
- Perform daily billing activities in support of attorneys, partners, and clients
- Prepare and edit billing proformas, invoices, and time summaries
- Update matter information, billing rates, and generate client reports as requested
- Ensure timely and accurate processing of invoices in accordance with client agreements
- Follow up with attorneys to resolve billing issues and obtain approvals
- Interpret and apply client billing guidelines and outside counsel requirements
- Process electronic invoices and resolve any rejections or discrepancies
- Respond to billing inquiries and research billing-related issues
- Collaborate with internal departments such as accounts receivable, e-billing, cash applications, and pricing
- Maintain accurate billing records and ensure compliance with accounting standards
- Communicate professionally with attorneys, staff, vendors, and clients while maintaining confidentiality
- Assist with additional billing and accounting tasks as needed
- Bachelor's degree or a minimum of 2 years of related billing or accounting experience
- Proficiency in Microsoft Word and Excel
- Understanding of general accounting principles, particularly billing and accounts receivable
- Strong mathematical aptitude and analytical skills
- Excellent attention to detail and organizational skills
- Strong communication and interpersonal skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving skills and sound judgment
- Ability to work both independently and collaboratively
- Ability to maintain confidentiality and exercise discretion
- Prior law firm or professional services experience
- Experience with client billing guidelines and fee arrangements
- Familiarity with electronic billing systems and vendors
- Experience with billing platforms such as 3E or similar systems
