You'll be the vital link between building occupants, vendors, and leadership—coordinating everything from work order systems and budget analysis to special events and service delivery. You'll manage procurement processes, oversee service contracts, coordinate maintenance activities, and serve as a key interface with clients, visitors, and guests. This position offers meaningful opportunities to strengthen and advance your career through hands-on experience in financial systems, vendor management, and operational excellence while contributing to our culture of collaboration that defines how we deliver exceptional facility services.What your day-to-day will look like:• Provide continuous monitoring of facilities and support the Facility Manager with budgetary requests, analysis, reporting, and identifying cost savings opportunities to meet account targets• Manage procurement of property supplies and services including issuing purchase orders, coordinating bid requests, administering service and construction contracts, and processing accounts payable and receivables• Operate and maintain the call center work order system for the west coast property portfolio, ensuring accurate categorization, proper distribution to internal staff and external vendors, and timely closeouts• Receive and dispatch work requests while resolving issues associated with building services including janitorial, food service, parking, vending, badging, conference rooms, and interior/exterior furnishings and equipment• Act as liaison between JLL finance team, account members, clients, visitors, and guests—solving problems and resolving unique situations with professionalism and a strong service orientation• Coordinate special events, meeting reservations, and maintenance scheduling while providing support for guests, visitors, and employees at client locations• Maintain accurate database files including contacts, contracts, vendors, emergency information, and recurring documentation to support Property Management Operations and AdministrationRequired qualifications:• Bachelor's degree in Facility Management, Business Administration, or related field preferred, or equivalent combination of education and experience• 2+ years of experience in facility or property administration with demonstrated administrative capabilities• Proficiency in Microsoft Office Suite with advanced Excel skills for creating spreadsheets and customizing administrative reports• Superior customer service skills with ability to maintain professionalism under stressful situations and time constraints• Strong organizational skills and collaborative work style with ability to multitask and work independently without direct supervision• Excellent written, verbal, and interpersonal communication skills• Valid driver's license and ability to support multiple west coast portfolio locations as neededPreferred qualifications:• Experience with computerized maintenance management systems (CMMS) or call center work order platforms• Knowledge of Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) in facility management environments• Background supporting operational reporting, budgeting, financial systems, and purchasing processes• Experience coordinating with project management teams on facility-specific initiatives• Familiarity with vendor management and contract administrationSchedule: M-FLocation: Kirkland WAThis position does not provide visa sponsorship.
