Candidate should possess a strong work ethic, a team mindset and be able to work with minimal supervision.JOB RESPONSIBILITIESWork with the project and installation team to assist in all aspects of Construction Projects, assisting with document and information flow from inception to closeout.Complete project bookings as per established proceduresManage project file structures in hardcopy and digital formatsPrepare billing (AIA) summaries for all project managers and perform contract invoicing along with updating on WIP logPrepare and submit contracts and construction permits when requiredWork with project management to ensure field staff are provided daily schedules and relevant informationPrepare & track RFI’s, Submittals, and change orders.Purchasing/ordering/receiving equipment and coordinating delivery to project worksite or company warehouse with project managersCompleting RMA’s for returns of defective materialsMaintain tax exempt certificates from customer and prepare for vendorsRun Purchase order and/or labor reports for Project ManagersAttend departmental and intercompany meetings as requestedObtain certificates of insurance for customers and from subcontractorsPrepare and process subcontractor agreement paperworkReview vendor/subcontractor invoice discrepancies when necessaryProject filing- purchase orders, packing slips, spec sheets, and similarCompile and submit closeout packages and warranty statements for projectsAssist with answering company phone lines when receptionist is unavailableAdhere to all established company standard operating procedures and recommend improvements when applicablePerform other duties as neededACCOUNTABILITIESMaintain accuracy and attention to detail in all assigned tasksDeliver work in a timely manner and meet internal estimate deadlinesCommunicate effectively with team members and request guidance when neededFollow safety procedures and company policies when on job sitesORGANIZATIONAL ALIGNMENTThis position reports to the local Operations Manager.QUALIFICATIONSHigh School diploma or GED equivalent and a quick learner3+ years administrative experience requiredKnowledge of the HVAC or Construction industry preferredKnowledge of construction and estimating softwareTimberline Sage 300 CRE experience is preferredAccubid experience is preferredExcellent time management skills and prioritization of tasks to meet deadlines and work on multiple project tasks simultaneouslyAnalytical thinking with strong attention to detailAbility to maintain and monitor project budgets, schedules, and manpowerFundamental understanding of electrical installationsAbility to interact with customers and fieldExcellent communication skills and customer-centric approachProficient with Microsoft Office: Outlook/Word/Excel/TeamsProject management experience a plusSmartsheet experience a plusMust be punctual, dependable and be able to take initiative and be proactiveEmbrace change in processes as the company continues to growBEHAVIORAL PROFILELanguage SkillsAbility to read and comprehend simple instructions, short correspondence, and memos.
