Operations & Payroll Coordinator
CPAY Staffing & Recruiting is growing, and we're looking for a dependable, detail-oriented Operations & Payroll Coordinator to help keep the business running smoothly behind the scenes. This role is ideal for someone who enjoys organization, accuracy, problem-solving, and supporting a fast-paced team. You'll play a critical role in payroll administration, billing, onboarding, recruiting support, compliance, and day-to-day office operations. Key Responsibilities
- Payroll & Employee Administration
- Process full-cycle weekly payroll accurately and on time
- Review, verify, and audit employee timesheets
- Maintain employee payroll records, wage changes, garnishments, and payroll updates
- Manage new hire onboarding and employee documentation
- Complete E-Verify and new hire reporting requirements
- Maintain confidentiality of employee and company information
- Billing, Collections & Financial Administration
- Generate client invoices and process weekly billing
- Monitor accounts receivable and follow up on outstanding balances
- Assist with collections efforts and customer account inquiries
- Process vendor invoices and maintain organized financial records
- Support bookkeeping and administrative accounting functions
- Recruiting & Candidate Support
- Coordinate candidate onboarding and pre-employment paperwork
- Maintain candidate records within the ATS system
- Format and update candidate resumes for client presentation
- Assist with interview scheduling and candidate communications
- Ensure compliance documentation is complete and current
- Job Posting & Recruiting Administration
- Create and manage online job postings
- Monitor applicant flow and update recruiting systems
- Maintain accurate job and candidate records
- Support recruiting efforts through administrative coordination
- Operations & Administrative Support
- Manage timesheet collection and approval processes
- Maintain employee files and compliance documentation
- Assist with office administration and special projects
- Support leadership with reporting, data entry, and operational tasks
- Help improve internal processes and workflow efficiencies
What We're Looking For
Experience with payroll processing preferred. Experience with billing, accounts receivable, and collections preferred. Experience in staffing, recruiting, HR, payroll, bookkeeping, or office administration preferred. Strong attention to detail and organizational skills. Ability to prioritize multiple projects and deadlines. Strong written and verbal communication skills. Proficiency with Microsoft Office and cloud-based software systems. Experience working with applicant tracking systems (ATS) is a plus. Professional, dependable, trustworthy, and self-motivated. Ability to work independently while supporting a collaborative team environment.
