About the Role

Our Business Operations/Payroll Specialist role is an On-Site in office role which is responsibleto provide overall business support in a variety of functions to an individual, team, department,or other group in an organization. Collects, reviews and analyzes data, and prepares reports,charts, budgets and other presentation materials. Responds to or routes routine inquiries fromexternal or internal sources with standard correspondence or other messaging. The specialistcompiles, verifies accuracy, and sorts information according to priorities to prepare payroll datafor computer entry. The role also reviews payroll data for deficiencies or errors, makescorrections, and reviews output.

Responsibilities

• Creates and manages business organization systems to ensure accuracy andavailability of data.
• Directs incoming business opportunities to the individual needed to expedite the request.
• Manages business resources to ensure operational efficiencies.
• Manages the reporting, documentation and investigation of all Workers Comp claims.
• Ensures business compensation is accurate and timely.
• Manages the integrity of business data within data systems.
• Manages required documented temporary employees’ certifications are valid and notifiesthose employees when they are expired.
• Certified Payroll report distribution to clients on weekly and monthly basis.
• Responsible for monthly CIP reporting.
• Manipulates data via Excel for payroll import or reporting purposes.
• Verifies accuracy of entries, calculations and processes pay.
• Verifies accuracy of payroll information and processes payroll batch.
• Investigates and resolves payroll discrepancies.
• Maintains current knowledge of payroll processing software.

Qualifications

• High school graduate.
• Minimum one to two years’ experience working in an office environment.
• Experience working in payroll, data entry or other related position preferred.
• Staffing/Avionte/VMS experience a plus.

Required Skills

• Excellent customer service skills.
• Excellent communication (listening, speaking, writing) and diplomacy skills.
• Knowledge of Microsoft Windows, Outlook and Internet Explorer. Proficient in use ofExcel and Word tools.
• Has basic word processing, spreadsheet and graphics software skills.
• Must be organized and able to work in a fast-paced environment.
• Must be deadline focused.
• Adaptability and flexibility required.
• Proficient in Avionte/Bold (Order entry, back office set up, assignments).
• Project based billing.
• Certified Payroll and CIP Knowledge.
• Understanding of Basic Accounting Principles.
• Knowledge of prevailing wage is a plus.
• Knowledge of controlled insurance projects and CIP reporting is a plus.

Skills & Abilities

• Good basic math skills.
• Requires the ability to lift files, open filing cabinets and bend or stand as necessary.
• Generally, a sedentary role in a typical office environment.
• Ability to work unsupervised.
• Requires independent thinking and decision-making capabilities.
