Logistics Manager

Summary of Position: The Manager Logistics position will coordinate and manage railroad, truck, terminal, and vessel logistics and support invoicing and documentation for deliveries in compliance with the company’s coal and other commodity supply or other agreements. The position will provide support for domestic and export logistics, as requested. Track and coordinate the loading of customer coal, and other commodities as needed, in trains and trucks at company mines and at loading terminals and coordinate the same with appropriate operations personnel. Serve as a liaison between mine operations and the commercial group, communicating production and equipment status and publishing near‑term load plans. Coordinate appropriately to ensure the proper loading of commodity volumes and quality specifications in compliance with the company’s commodity sales agreements. Track and coordinate vessel nominations and laycans, vessel arrivals, port and terminal operations, and shipment and quality documentation for export shipments, working with agents, surveyors, terminals, and customers. Administer the conditions of carriage applicable to each shipment, including the governing Incoterms rule (FOB, CFR, CIF, or DAP as applicable), to ensure that transfer of title, risk, cost, and insurance responsibility is correctly reflected in loading, documentation, and invoicing, and coordinate with sales, legal, and finance where terms vary from the standard position. Manage laytime, demurrage, and despatch exposure, including per‑vessel estimates, claims, disputes, and terminal reimbursement calculations, and recommend adjustments to the loading plan to remain within contractual thresholds. Support freight and charter activity, including collection of freight quotes, screening of candidate vessels for suitability, and maintenance of rate documentation through negotiation. Manage the company’s participation in the railroad forecasting and nomination process for monthly deliveries on the Powder River Basin joint‑line rail and track the company’s performance against nominations. Administer transportation and terminal contract requirements, including quarterly business reviews, rate and volume compliance, and related notices. Review and approve service provider invoices within delegated authority and coordinate requisition and payment processing with finance. Maintain the company’s logistics workbooks and support the company’s Coal Management System (CMS) as a database of contract requirements and shipment data, to provide customers with manifest and coal quality reports for each shipment and support the invoice process. Coordinate with operations, contract administration, and finance staff in this responsibility. Prepare and distribute recurring logistics reporting, including the weekly export update, vessel schedules and communications, monthly shipment forecasts and nominations, and month‑to‑date loading summaries for internal, railroad, terminal, and customer distribution. Develop and utilize relationships with railroads, trucking companies, ports, terminals, agents, surveyors, and customers to manage to an optimal loading and delivery schedule. Respond to and manage customer non‑compliance with contract volume and scheduling obligations. Assist with response to customer notices of force majeure in coordination with the company’s sales managers, legal department, and Customer Service. Support the evaluation and selection of logistics‑related products, vendors, and services, including request for proposal processes, in coordination with operations and supply chain. Attend industry conferences or other events as appropriate to the position. Occasional travel to customers, mine, transportation partner, port, and terminal locations. International Logistics coordination requires working hours outside of a normal workday on a regular basis, including early mornings, evenings, and weekends, to align with vessels, ports, terminals, carriers, and customers in other time zones. Necessary Qualifications: Bachelor’s degree in related field and at least 6 years of prior experience in supply and distribution/logistics support within the coal industry or other relevant commodity space. Experience in railroad and truck transportation or equivalent of any combination of education and experience that provides the requisite knowledge to successfully perform the job. Must possess solid understanding of key principals of carriage of goods and commodity transportation modes, including the conditions of carriage and Incoterms rules (FOB, CFR, CIF, and DAP) governing transfer of title, risk, cost, and insurance responsibility on domestic and international shipments. Solid understanding of contract terms, rights, and obligations in both domestic and international markets as it relates to execution and administration of coal supply and transportation contract terms and conditions. Comprehensive understanding of the mining industry Demonstrate strong problem solving and analytical skills. Exhibits exceptional communication skills as well as analytical, project management and planning skills. High level of autonomy and self‑organization. Excellent ability to develop effective internal and external relations. Comfortable working with multiple levels of external and internal organizations. Strong written and verbal communication skills in a corporate environment. Proficient in all Microsoft Word and Excel and familiar with enterprise systems. Detailed understanding of networking and possess excellent interpersonal skills to establish rapport at all levels. Experience at working both independently and in a team‑oriented, collaborative environment is essential. Must be able to manage competing demands, accept criticism and constructive feedback, while being extremely adaptable and flexible. Persuasive, encouraging and motivating. Physical Demands: While performing the duties of this job, the employee is regularly required to talk or hear. The employee is required to frequently sit with frequent forward bending and occasional rotation. The employee must rarely lift, carry and/or move up to 13 pounds and rarely lift and/or move up to 25 pounds. The employee is required to rarely push or pull up to 45 pounds horizontally. The employee frequently is required to use hands to finger, handle or feel and reach with hands and arms. The employee is required occasionally to walk; climb stairs; and stand with rare rotation. Rarely the employee is required to squat repetitively or reach up to 74”. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Working Environment: Works in office environment and rarely site environment. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
