Recruitment Coordinator

Key Responsibilities Coordinate interviews across multiple departments and locations. Schedule phone, virtual, and onsite interviews with candidates and hiring teams. Manage interview calendars while balancing competing priorities. Ensure candidates receive timely communication throughout the hiring process. Prepare interview packets, candidate evaluations, and hiring documentation. Coordinate travel arrangements when required. Candidate Experience Serve as the primary point of contact throughout the interview process. Deliver a professional, responsive, and engaging candidate experience. Provide interview logistics and follow-up communications. Coordinate offer letter delivery and pre-employment activities. Support new hire onboarding and orientation scheduling. Maintain accurate candidate records within BambooHR or other recruiting systems. Update candidate statuses throughout the recruitment lifecycle. Ensure compliance with OFCCP, EEOC, and internal hiring documentation requirements. Generate recruiting reports and hiring metrics. Recruiting Operations Assist recruiters with job postings across multiple recruiting platforms. Coordinate LinkedIn Recruiter, Indeed, and other sourcing activities. Maintain recruiting templates and communication standards. Support recruitment marketing initiatives and employer branding efforts. Coordinate recruiting events, career fairs, and university recruiting activities. Monitor recruiting inboxes and respond to candidate inquiries. Talent Acquisition Support Assist with background checks, employment verifications, and pre-employment screenings. Prepare offer packages and onboarding documentation. Support hiring managers throughout the recruitment process. Track recruiting KPIs including: Time-to-fill Time-to-hire Interview-to-offer ratio Offer acceptance rate Interview scheduling turnaround Administrative Support Maintain recruiting files and documentation. Prepare weekly recruiting reports for leadership. Assist with process improvement initiatives. Support HR projects as assigned. Required Qualifications Associate's or Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience. 3-5 years of recruiting coordination, HR administration, executive scheduling, or recruiting support experience. Experience coordinating interviews across multiple stakeholders. Strong organizational and project management skills. Excellent written and verbal communication skills.High attention to detail and accuracy. Ability to prioritize multiple deadlines. Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams). Preferred Qualifications Experience supporting high-volume recruiting. Experience using BambooHR, Greenhouse, Workday, Lever, iCIMS, or similar ATS platforms. Experience with LinkedIn Recruiter. Experience coordinating nationwide recruiting. Exceptional organizational and time management skills. Strong scheduling and calendar management abilities. Professional communication with executives and candidates. Ability to maintain confidentiality. Detail-oriented with strong follow-through. Ability to work independently while supporting multiple recruiters. Comfortable working in a fast-paced, rapidly growing organization. Strong problem-solving and process improvement mindset. High proficiency with technology and recruiting systems. Physical Requirements Ability to work at a computer for extended periods. Occasional travel (up to 15%) for hiring events, conferences, or business meetings. Ability to communicate effectively via phone, video conferencing, and in-person meetings.
