Client Accounts Administrator - Pacific Time

Summary The Client Accounts Administrator supports the firm’s strategic initiatives by managing top‑tier billing portfolios for high‑volume institutional and high‑profile clients. The role includes handling complex domestic and global billing, finalizing invoices, providing analysis to attorneys, and mentoring staff. The position serves as a subject‑matter expert and proxy for regional supervisors when needed. Location This position can be based in the Palo Alto or San Francisco office and offers a hybrid work schedule. Responsibilities US Clients: Manage complex billing volumes, global clients, and electronic billing assignments. Review and edit prebills, obtain approvals for deferrals, write‑offs, and time transfers. Respond to billing inquiries and track tickets from the Accounting Service Desk, meeting SLA requirements. Utilize BillBlast and other electronic billing vendor sites to ensure quality before invoice finalization and resolve rejection root causes. Maintain accurate client billing requirements and update changes, summarizing and communicating them to stakeholders. Obtain complex monthly reporting, verify data accuracy, and gather accrual information per client requirements. Finalize and submit invoices directly to clients or provide them to attorneys for transmission, as per policy. Submit electronically where required, continuously improving client service and deliverables. Share expertise, support team member development, and proxy for the manager as needed. Collaborate with other departments, utilize tools and resources, and manage time efficiently to meet deadlines. Perform additional duties as assigned. Global Clients: Coordinate and lead global client unified billing, including account assignments and full‑cycle billing functions. Obtain complex monthly reporting, review data accuracy, and collaborate with other teams. liaise with international counterparts for accurate accrual and forecasting information, ensuring budget compliance and timely invoices. Track and resolve tickets from the Accounting Service Desk. Generate global client LEDES files for electronic billing per client requirements. Qualifications Education: High School Diploma or GED required; Bachelor’s Degree in Accounting, Finance or a related field highly preferred. Experience: Minimum five years managing high‑volume billing portfolios in a fast‑paced environment. Proven expertise in direct billing or client accounts (domestic, global, e‑billing) for a law or professional services organization. Team‑lead experience preferred. Skills: Strong communication and interpersonal skills; accurate proofreader with high attention to detail; analytical and problem‑solving abilities; independent worker who takes direction well. Advanced proficiency in Excel and accounting systems such as Aderant. Familiarity with BillBlast, LEDES, and other electronic billing platforms. Other Requirements: Ability to work under pressure, manage competing demands, and meet deadlines. Proficiency essential in Excel, accounting systems, and electronic billing tools. Compensation Hourly rate of $49.30 – $65.51, adjusted for geographic location, experience, skills, education, and qualifications. Overtime paid per applicable laws.
