About the role

As the Subcontractor Procurement & Bid Administration Coordinator with a commercial general contractor, you’ll be the central hub for subcontractor engagement, document control, and proposal assembly during preconstruction.

Core responsibilities

• Coordinate and administer bid documents using BuildingConnected
• Receive, sort, and prepare subcontractor proposals for estimator analysis
• Cultivate relationships with trade partners to encourage timely submissions
• Follow up to close coverage gaps and compile proposals for client delivery
• Organize all bid documentation in accordance with internal bidding procedures
• Create and maintain proposal directories and reporting across all pursuits
• Continuously update BuildingConnected records and subcontractor contact details

Skills and experience

• Proficiency with MS Office (Word, Excel, Outlook)
• Experience with estimating software required; BuildingConnected preferred
• Exceptional attention to detail with strong problem-solving and deadline focus
• Organized, proactive self-starter comfortable managing multiple timelines
• Confident communicator—both written and verbal
• Works effectively solo and in a collaborative team setting
