We’re a high-tempo environment where precision, accountability, and continuous improvement aren’t buzzwords, they’re how we operate.The Data Management Administrator is a critical operational role at the center of AeroTEC’s document control, data integrity, and compliance ecosystem. You’ll manage the lifecycle of controlled documents, engineering data, and transmittals across programs. Supporting quality, engineering, and program teams while ensuring compliance with AS9100, customer requirements, and export control regulations.This role is for people who thrive under pressure, own their workload without being told, find a better way before someone asks them to — and go deep when something breaks.What You’ll Do:Document ControlManage the full lifecycle of controlled documents: initiation, review routing, approval, release, distribution, and revision controlMaintain document registers and configuration records in compliance with AS9100 Rev D requirementsProcess Data Transmittal Memos (DTMs) accurately and on schedule, including FAA WCB coordination as requiredSupport internal and external audits with accurate, retrievable recordsIdentify and resolve document control discrepancies; escalate systemic issues with proposed solutionsData AdministrationManage high-volume data entry, tracking, and validation across multiple concurrent programsMaintain data integrity across SharePoint lists, internal systems (Quality Portal, MES), and program filesGenerate status reports and metrics to support program and quality teamsCoordinate with engineers, program managers, and customers to ensure data accuracy and timely deliveryInternal Customer Support & Problem-SolvingServe as the go-to resource for internal teams — engineering, programs, quality, and supply chain — when document control or data issues ariseDiagnose root causes rather than just symptoms; trace problems across systems, processes, and program history to understand why something brokeDraw on cross-functional knowledge — QMS requirements, program context, system behavior, and regulatory obligations — to solve problems that don’t fit a standard scriptConnect the dots between what you know about process A and what’s happening in process B; the best solutions here come from people who hold the whole pictureCommunicate findings and fixes clearly to stakeholders at all levels, including non-technical internal customersCompliance SupportAdhere to export control requirements under ITAR and EAR; recognize and properly handle USML and ECCN-classified dataSupport the Trade Compliance Officer on screening, record-keeping, and data segregation requirementsApply CUI handling procedures per DFARS/CMMC requirements where applicableFlag potential compliance gaps proactively — don’t wait to be askedContinuous ImprovementIdentify process inefficiencies in document control and data workflows; propose and implement improvementsParticipate in lean / CI initiatives; contribute to the Drag Reduction ProgramDevelop and maintain SOPs for recurring data management tasksWhat You BringRequired3+ years of document control experience in an aerospace, defense, manufacturing, or regulated industry environmentDemonstrated ability to manage high-volume workloads accurately and independently — you don’t need a checklist for every taskStrong analytical and troubleshooting skills — you can work backwards from a broken outcome to find the real cause, not just the obvious oneAbility to synthesize knowledge across systems, procedures, and programs to solve novel problems; you connect things other people treat as separateStrong working knowledge of AS9100, ISO 9001, or equivalent quality management system requirementsProficiency with SharePoint, Microsoft 365, and document management platformsExceptional attention to detail; errors cost programsClear written and verbal communication — you can translate a complex issue into plain language for an engineer or an executiveComfort with ambiguity and changing priorities — this is a fast-moving operationPreferredExport compliance experience: ITAR, EAR, USML, ECCN, or similar frameworksFamiliarity with FAA regulatory documentation processes (Form 8110, DTMs, DERs)Experience supporting CMMC, DFARS, or CUI data handling requirementsBackground in aerospace manufacturing or flight test environmentsExperience with process improvement methodologies (Lean, Six Sigma, or similar)Who You AreYou are a self-starter who builds systems where none exist and improves ones that do.
