Front Office Manager

Federal Prep Inc

We are seeking a polished, highly organized, proactive, and detail-oriented Front Office Manager to support our growing, family-owned firm. This role serves as both the first point of contact for clients and the operational backbone of the office, ensuring smooth day-to-day operations, strong client service, and efficient administrative support for advisors and leadership. The ideal candidate thrives in a fast-paced environment, communicates effectively, and takes ownership of a wide range of administrative and office management responsibilities. Responsibilities Front Desk & Client Relations Serve as the first point of contact for clients and visitors, providing a welcoming and professional experience Manage the main phone line and respond to client inquiries via phone and email Handle incoming and outgoing mail and general office correspondence Office Administration & Operations Maintain overall office efficiency and support day-to-day workflow and general office organization Coordinate facility needs and ensure office equipment is functioning properly Ensure compliance with company policies and industry regulations Scheduling & Coordination Manage calendars, schedule meetings, and coordinate appointments Assist with travel arrangements and logistics for leadership Records & Data Management Update and manage client records within CRM systems Support data entry and ensure accuracy of client information Execute general operational support, including scanning and faxing Administrative Support Prepare, process, and maintain documents, applications, and reports with accuracy Maintain organized digital and physical filing systems Qualifications Previous experience in an administrative, office management, or similar support role (financial services experience preferred) Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with CRM systems and/or accounting software Excellent written and verbal communication skills Strong organizational skills with the ability to manage multiple priorities High attention to detail and a proactive, solution-oriented mindset Positive attitude and strong client service skills #J-18808-Ljbffr
