Office Manager / Creative Admin

Office Manager | $55k-$75k/yearly Monday - Friday | 8am-5pm Behind every great job in the field or on the shop floor is a smooth-running office. A North Sioux City area business is looking for a sharp, detail-oriented Office Manager with a strong background in QuickBooks and everyday accounting to keep their finances tight and daily operations humming. You'll be the financial heartbeat and operational anchor of their shop while overseeing daily bookkeeping, managing client accounts, keeping vendor bills in order, and ensuring their front office runs like clockwork. Responsibilities Manage Accounts Receivable (A/R) and Accounts Payable (A/P). Generate estimates, issue invoices, post payments, and reconcile monthly bank and credit card accounts. Process weekly/bi-weekly payroll, track employee hours, and ensure accurate billing for both quick retail sales and multi-stage commercial glass/paint projects. Keep office supplies stocked, manage filing systems, handle incoming mail, and maintain organized customer job files (quotes, work orders, and warranties). Review contractor/supplier invoices (glass distributors, paint manufacturers) against purchase orders to ensure accurate pricing and dispute discrepancies. Answer incoming calls, assist walk-in trade contractors or retail clients with billing inquiries, and take payments over the phone or in person. Work closely with our outside CPA/accountant to prepare month-end, quarter-end, and year-end financial summaries. Requirements 2+ years of hands-on experience using QuickBooks (Desktop or Online) for full-cycle invoicing, A/R, A/P, and account reconciliation. Strong foundation in entry-to-mid-level accounting concepts (job costing, balance sheets, sales tax reporting). 2+ years in an Office Manager, Bookkeeper, or Senior Administrative role - preferably within the construction, trades, glass, paint, or manufacturing industries. Proficient in Microsoft Office (Excel, Word) and comfortable learning specialized shop/estimating software. You catch the $5 line-item error on a $5,000 vendor invoice and can manage your day without micro-management. High school diploma or GED required; an Associate's or Bachelor's degree in Accounting, Business, or Finance is a plus!
