Loan Officer Assistant

Role Description

The Loan Officer Assistant plays a pivotal role in helping borrowers move closer to homeownership through a lending experience defined by responsiveness, structure, and care. Qualifications

• 1-3 years US mortgage operations experience in LOA, processor support, or loan setup
• Strong Encompass LOS proficiency as an experienced user
• Solid knowledge of US mortgage documentation, including income, assets, and credit verification
• Understanding of the loan qualification process beyond checklist-based execution
• Credit review and AUS experience, including Desktop Underwriter or Loan Prospector
• Strong borrower communication skills with empathy and professionalism
• Proactive follow-up and strong organizational ability
• Comfortable working directly with US-based managers

Requirements

• Experience with non-QM loans, bank statement loans, asset depletion, and portfolio products
• Previous exposure to difficult or turned-down loans requiring creative solutions
• Direct experience with builder referrals or realtor coordination
• Pre-underwriting file preparation experience
• Purchase transaction experience, not just refinances
• Experience in fast-paced, unstructured mortgage environments
• Proven ability to handle complex scenarios independently

Responsibilities

• Lead Intake & Initial Engagement
  • Monitor and respond to new borrower leads from multiple channels, including application submissions, email, text, phone referrals, and builder referrals
  • Identify the lead source such as builder or referral partner and capture all relevant notes accurately
  • Initiate borrower engagement and provide clear guidance on required documentation
  • Maintain clear and detailed notes in the loan file regarding borrower scenario and referral source
• Document Collection & Borrower Support
  • Request and track required borrower documents, including pay stubs, tax returns, bank statements, identification, and asset documentation
  • Proactively follow up with borrowers to ensure timely submission of missing items
  • Provide professional and empathetic communication, especially for borrowers with prior declines or qualification challenges
  • Guide borrowers through the documentation process while maintaining a supportive borrower experience
• Loan Application Setup & File Organization
  • Assist borrowers with completing the 1003 loan application in Encompass
  • Upload, label, and organize documents accurately within the Encompass eFolder
  • Ensure all documentation is categorized correctly for efficient underwriting review
  • Maintain clean and structured files that allow quick evaluation by Loan Officers
• Pre-Qualification Support & File Structuring
  • Pull credit reports when authorized and review for potential qualifying issues
  • Review borrower income, assets, and liabilities to prepare for initial qualification assessment
  • Run initial pricing scenarios and Automated Underwriting Systems when appropriate
  • Flag potential issues such as TI concerns
  • Flag potential issues such as credit issues
  • Flag potential issues such as undisclosed obligations
