Senior Local Office Administrator

Job Title Senior Local Office Administrator Location & Employment Type San Antonio, TX; Regular, Full Time Requisition ID 34983BR Responsibilities Oversee daily general office operations including office maintenance, ordering office supplies, and coordinating the daily office environment. Support fleet management administration activities and coordinate projects as needed. Organize and perform various office administration tasks: ordering supplies, scheduling equipment maintenance, greeting visitors and vendors, conducting office tours, coordinating workstation set‑up, team introductions, and onboarding new office hires. Foster employee engagement by coordinating local office events, trainings, welcoming & onboarding new employees, and sharing updates on wellness initiatives, local recognition programs, and reminders for annual activities such as benefits enrollment and engagement surveys. Suggest and facilitate local office events and activities to increase engagement. Resolve general office related questions such as timesheet queries and create or update documents and processes to answer frequently asked questions. Act as liaison with IT on computer replacements, asset inventory, and recycling old computers. Ensure compliance with local, state, and federal employment law by maintaining correct employment law posters. Support project managers on coordination and support of projects: tracking documentation, project status, and drafting reports. Provide administrative support to development and maintenance of marketing materials including formatting presentations & proposals. Facilitate the annual budget request process for regional fleet ordering and suggest improvements. Engage in fleet management administrative tasks: reviewing and approving monthly vehicle rentals, requesting insurance cards, processing purchase orders and invoices, ensuring DOT compliance, tracking vehicle movement, and auditing vehicle inspection documents. Serve as point of contact for fleet management vehicle registration and education on new vehicle processes. Review key local office fleet management cost factors and suggest improvements. Promote local office efficiency related to the vehicle/equipment telematics program and engage during routine trainings. Follow safety rules, participate in pre‑task planning, report safety issues, and maintain quality standards on all projects. Perform other duties as assigned. Requirements High school diploma or equivalent. Minimum 5 years of relevant large local office administration and fleet management support experience. Valid driver's license with acceptable violation history. Expected Salary Range The base range may be adjusted based on the specific location of the applicant. Final agreed upon compensation is based upon individual qualifications and experience.
