Sales Support Specialist
Location: Sarasota, FL – Downtown Sarasota
Schedule: Full-Time, In-Office

Job Summary

We are seeking a detail-oriented and highly organized Sales Support Specialist to support a growing sales and operations team. This role is responsible for preparing quotes, processing purchase orders, coordinating with manufacturers and suppliers, tracking orders, maintaining accurate records, and supporting customer communication.

This is not a cold-calling or quota-driven sales role. The ideal candidate enjoys working behind the scenes to keep the sales process organized, accurate, and moving efficiently.

Key Responsibilities

• Prepare customer quotes, proposals, and pricing requests
• Review RFQs and obtain pricing, availability, and lead times from multiple suppliers
• Create and manage purchase orders
• Track orders from placement through delivery
• Communicate shipment and delivery updates to customers
• Coordinate directly with manufacturers, suppliers, and vendors
• Source alternative products or suppliers when needed
• Support outside sales representatives with day-to-day operational needs
• Maintain accurate customer, quote, PO, and supplier records
• Update ERP, CRM, and internal tracking systems
• Organize digital and physical documentation
• Review and research inbound customer inquiries and leads
• Assist with reporting, data accuracy, and process improvement

Qualifications

• 3+ years of experience in sales support, sales administration, customer service, order management, procurement, or a similar role
• Experience preparing quotes and/or managing purchase orders
• Experience working with vendors or suppliers
• Strong organizational and follow-up skills
• High attention to detail
• Strong written and verbal communication skills
• Proficiency with Microsoft Office
• ERP and/or CRM experience preferred
• Telecommunications, construction materials, electrical, utility, distribution, or manufacturing experience is a plus
