Job Description: Adolfson and Peterson Construction is currently hiring for an Accounting Operations Coordinator to be based out of our corporate headquarters located in Bloomington (moving soon to Edina). The Accounting Operations Coordinator is responsible for accurate, timely and controlled processing of company disbursements including accounts payable, vendor payments and payroll as well as company billing and cash receipts. The role partners with Accounting, HR, Payroll, IT and Regional Accounting teams to ensure transactions are supported, approved, recorded, processed, and reconciled in accordance with company policies and internal controls. Responsibilities: Take personal responsibility for working safely within an Incident and Injury Free (IIF) culture. Ensure financial operations are compliant with company expectations, processes, and controls. Prepare monthly billings for every project; track timely submissions by project team. Reconcile contract amounts and billed amounts for projects in progress. Verify completed projects are final billed. Process cash receipt payments. Process invoices into accounting software that are not received electronically. Release all subcontractor payments in Textura or print checks. Ensure that payments do not exceed contract amounts. Prepare journal entries. Support month-end close, audits, cash management and other accounting activities as assigned. Perform in-house audits of invoices. Document and maintain standard operating procedures, process documentation, and process workflows. Develop job aids, checklists, and other materials to support consistent execution of accounting process. Ensure all subcontractor or vendor invoices are entered into Textura or Spectrum in a timely manner. Partner with the Payroll Coordinator to support accurate and timely processing of weekly and bi-weekly multi-state payrolls. Resolve timecard and pay issues in a timely manner. Maintain garnishments, levies, and child support orders. Generate weekly certified payroll and management reports. Process labor job reclassifications. File union and other payroll related reports; keep abreast of collective bargaining agreement changes; support regions with prevailing wage compliance reporting. Audit and analyze input files for completeness and to ensure compliance with regulatory requirements and collective bargaining agreements. Ensure vendor payments for payroll related items are processed. Prepare payroll journal entries. Reconcile payroll related and union general ledger accounts and resolve out of balance issues. Prepare, review and file state and local tax returns accurately and in compliance with all regulatory requirements and deadlines. Build and maintain good relations and communications with both internal and external customers, including vendors, subcontractors, and project managers. Champion third party payment system and accounting software for the regions. Evaluate, assess, and initiate improvements on processes between finance and operational functions of the business. Other duties as assigned. Requirements: History of experience and proven results including: Associate's degree in accounting, finance, or related field and 4+ years of relevant accounting experience or an equivalent combination of experience and education. Bachelor's degree in accounting, finance, or related field preferred. Experience and familiarity with the A/E/C industry preferred. Accounts payable, accounts receivable, and construction industry experience preferred. Experience working with online timecards and payroll systems. Knowledge of payroll laws, regulatory requirements, and payroll policies and practices. Knowledge of GAAP. Advanced proficiency with Microsoft Office Suite skills and the ability to learn other software programs quickly. Knowledge of Spectrum, Prolog, or other accounting programs preferred. Demonstrated integrity and ethical standards. Developed skills (written, oral, and listening) in order to effectively communicate with diverse audiences. Ability to efficiently manage multiple projects and priorities simultaneously under time constraints. Demonstrated attention to detail. Shows accountability and follows through on commitments. Strong organization skills and ability to meet deadlines.
