Role OverviewMobilelink USA is seeking a highly organized, discreet, and proactive Executive Assistant to provide high-level administrative and operational support to the Executive Director and CEO/Owner. This role requires a strategic thinker who can manage complex schedules, handle sensitive information with confidentiality, and serve as a key liaison across internal departments and external stakeholders.The ideal candidate thrives in a fast-paced, high-accountability environment and demonstrates exceptional judgment, attention to detail, and the ability to anticipate executive needs.Key ResponsibilitiesExecutive Support & Calendar ManagementManage complex, high-volume calendars, including scheduling internal and external meetings, travel, and eventsPrioritize and coordinate shifting demands while ensuring alignment with business objectivesPrepare daily briefings, agendas, and meeting materials for executive leadershipCommunication & Stakeholder CoordinationServe as a primary point of contact between executives and internal/external stakeholdersDraft, review, and manage professional correspondence, reports, and presentationsScreen and prioritize communications, ensuring timely and appropriate responsesOperational & Administrative OversightCoordinate executive travel arrangements, including itineraries, accommodations, and expense trackingManage expense reports, invoices, and administrative documentation with accuracy and complianceTrack key deliverables, deadlines, and follow-ups to ensure execution of strategic initiativesConfidentiality & ComplianceHandle highly sensitive and confidential information with discretion and professionalismEnsure documentation, communications, and processes align with company policies and compliance standardsMaintain organized records of executive decisions, contracts, and key business activitiesProject & Cross-Functional SupportSupport special projects and strategic initiatives on behalf of executive leadershipCoordinate with departments including legal, finance, HR, operations, and real estate teamsAssist in preparing reports, dashboards, and presentations for leadership meetings and board-level discussionsMeeting & Event CoordinationPlan and execute executive meetings, leadership off sites, and company eventsPrepare meeting minutes, action items, and follow-up trackingEnsure seamless logistics and execution of internal and external engagements#MLTAQualificationsBachelor’s degree in Business Administration or related field preferred5+ years of experience supporting C-level executives or senior leadershipStrong organizational and time management skills with the ability to multitask effectivelyExceptional written and verbal communication skillsHigh level of discretion, integrity, and professionalismProficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration toolsExperience in fast-paced, multi-entity or retail environments is a plusAbility to anticipate needs, think critically, and solve problems independentlyWhy Work with Us?Be part of a fast-growing, industry-leading wireless retailerDirect exposure to executive leadership and strategic decision-makingCollaborative and high-performance work environmentCompetitive compensation and benefits packageOpportunity for growth within a rapidly scaling organization #J-18808-Ljbffr
