Marketing Coordinator

Description

We are seeking an organized, creative, and adaptable Marketing Coordinator to assist with the day-to-day execution of marketing, communications, branding, outreach, and departmental initiatives for Winston Salem Transit Authority (WSTA).


This is a hands-on role for someone who enjoys variety. One day may involve creating a flyer or social media graphic, while another may include coordinating an order, preparing for a community event, updating a project tracker, organizing materials, or helping move a new initiative forward.

The right candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities. Because the needs of the department can change quickly, flexibility, initiative, and the ability to follow projects through to completion are essential.

Requirements

Essential Functions

Marketing & Communications

• Create, edit, and prepare marketing materials, including flyers, social media graphics, presentations, website content, signage, and promotional materials.
• Ensure marketing and communication materials align with established brand standards, messaging, and organizational guidelines.
• Assist with the planning, coordination, and execution of marketing campaigns, public information efforts, and community outreach initiatives.
• Draft, edit, format, and distribute internal and external communications accurately and in a timely manner.
• Support social media content creation, updates, scheduling, and coordination as needed.
• Assist with maintaining current marketing and informational materials across appropriate communication channels.

Project & Administrative Coordination

• Support multiple projects simultaneously while monitoring deadlines, deliverables, and changing priorities.
• Maintain organized digital and physical files, calendars, project timelines, and departmental records.
• Assist with coordinating meetings, events, outreach activities, and other departmental initiatives.
• Follow up on assigned projects, orders, requests, and deliverables to help ensure timely completion.
• Identify potential delays, missing information, or other issues and communicate them to the Director in a timely manner.
• Provide general administrative and project support to the Director of Marketing & Community Engagement and the marketing team.

Purchasing, Inventory & Vendor Coordination

• Maintain inventory of promotional materials, marketing supplies, and other assigned departmental items.
• Coordinate with vendors regarding orders, specifications, proofs, production, delivery schedules, and quality.
• Track purchases and orders and communicate delays, discrepancies, or other issues as needed.
• Assist with obtaining quotes, preparing order information, and maintaining purchasing documentation.
• Manage the ordering, inventory, issuance, and distribution of operator uniforms.
• Process uniform requests and maintain accurate records of uniform inventory and employee issuance to support compliance with WSTA standards.
• Coordinate the collection and organization of returned uniforms for redistribution, reuse, or appropriate disposal.

Data Tracking & Reporting

• Maintain and update marketing, inventory, project, outreach, and other departmental trackers using Excel or similar tools.
• Assist with collecting, organizing, and tracking data for departmental initiatives.
• Compile reports, summaries, and other information for internal use as requested.
• Maintain accurate and organized records and documentation.

Events & Outreach

• Assist with event preparation, setup, coordination, and follow-up.
• Prepare and organize marketing materials, promotional items, signage, and other resources needed for events and outreach activities.
• Provide support at community events, public information activities, employee events, and other organizational initiatives as assigned.

Additional Responsibilities

• Remain flexible and responsive to changing departmental and organizational priorities.
• Provide support across marketing, communications, outreach, and related functions as operational needs arise.
• Work collaboratively with employees, departments, vendors, community partners, and other stakeholders.
• Perform other duties and provide support for departmental or organizational priorities as assigned by the Director of Marketing & Community Engagement.
