Department: Architectural DesignLerch Bates is seeking a Project Coordinator to support project delivery, proposal development, contract administration, and operational activities for our Architectural Design team. This role plays a critical part in keeping projects organized, supporting consultants and project managers, maintaining client documentation, and ensuring the successful coordination of project activities from proposal through completion.As a Project Coordinator, you will collaborate with consultants, managers, clients, and internal support teams to prepare project documents, manage contracts, coordinate project records, and support business operations. They are not intended to prescribe or restrict the assignments that management may make.Project & Proposal CoordinationSupport the preparation and submission of RFPs, RFQs, RFIs, proposals, and qualification packagesAssist with proposal development, document formatting, editing, and production using Word, Excel, PowerPoint, and InDesignTrack project progress and maintain project information within Deltek and other project management systemsCreate project presentations, marketing collateral, and client-facing documentsAssist consultants and project managers with specifications, reports, templates, and technical documentationContract AdministrationSupport the preparation, processing, and administration of project contracts, service agreements, purchase orders, and related documentationCoordinate with internal teams to facilitate contract review and executionAssist with obtaining Certificates of Insurance (COIs) and project compliance documentationServe as a liaison between project teams and clients throughout the contract execution processDocument Management & Quality ControlPerform quality control reviews of project documents to ensure consistency, accuracy, grammar, formatting, and compliance with company standardsOrganize, maintain, and archive electronic project records and documentationSupport a paperless office environment through effective file management and document organizationMaintain accurate records of project activity, communications, proposals, and client interactionsTeam & Client SupportProvide administrative and operational support to consultants, project managers, and leadershipAssist with client communications, scheduling, and coordination effortsSupport internal reporting and operational initiatives as requestedCollaborate with teams across the organization to support project delivery and business objectivesContribute to special projects and other duties as assignedWhat You’ll Bring:High school diploma required; associate degree, bachelor's degree, or additional college coursework preferred2+ years of experience in project coordination, administrative support, project administration, proposal coordination, consulting, architecture, engineering, construction, or related fieldsStrong organizational skills with the ability to manage multiple projects and competing priorities simultaneouslyExcellent attention to detail and commitment to producing accurate, high-quality workStrong written and verbal communication skills, including professional business writing and editingSolid knowledge of English grammar, spelling, punctuation, and document formatting standardsAbility to work independently while collaborating effectively with cross-functional teamsExperience coordinating contracts, proposals, project documentation, or client deliverables preferredIntermediate proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and SharePointExperience with Adobe InDesign required or strongly preferredExperience with Deltek, ERP systems, accounting software, or project management platforms preferredAbility to build relationships and provide exceptional internal and external customer serviceExperience supporting architecture, engineering, construction (AEC), consulting, or professional services organizations preferredWhy Work with Lerch Bates?Competitive compensationHealth, dental, and vision insurancePaid time off (starting at 17 days annually)9 paid holidays401(k) with employer matchEmployee Stock Ownership Program (ESOP)Paid parental leaveProfessional development and tuition reimbursementPerformance-based incentives and bonusesEmployee assistance and wellness programsBe more than just an employee…Lerch Bates is 100% employee-owned! An employee is regularly required to walk and stand.Mental Demands:While performing the duties of this position, an employee is are regularly required to use written and oral communication skills; read and interpret complex data, information and documents; analyze and solve problems; use math and mathematical reasoning; observe and interpret people and situations; learn and apply new skills and information rapidly; perform highly detailed work on multiple, concurrent tasks with frequently changing deadlines and interruptions; and interact with LB Executives, Project Managers and Administrative Assistants as well as clients, members of governmental agencies, professional and community organizations and committees, the media and the public.Employment is contingent upon the successful completion of a pre-employment background check and drug test.
