A well-established law firm is seeking an experienced Word Processing Specialist to join its Word Processing team. This position will provide high-level document production and formatting support across multiple practice areas and office locations. The ideal candidate will have advanced Microsoft Word skills, strong attention to detail, and experience producing and formatting complex legal documents in a fast-paced, high-volume environment. This is an excellent opportunity for an experienced Word Processing Specialist who enjoys working with complex legal documents, solving formatting challenges, and serving as a go-to resource for document production. You'll support professionals across multiple practice areas while utilizing advanced document-production technology and skills.

Position: Word Processing Specialist

Pay: $95K

Key Responsibilities

• Create, revise, format, and proofread complex legal documents.
• Convert Adobe PDFs to Microsoft Word documents and vice versa.
• Clean and format converted Word documents, including styles, cross-references, tables of contents, and tables of authorities.
• Revise documents from handwritten edits, PDFs, and tracked changes.
• Create labels and letters using Microsoft Word mail merge.
• Set up pleading templates for discovery responses.
• Create and format PowerPoint presentations using established templates and branding guidelines.
• Create and revise diagrams, tables, and organizational charts.
• Create and update Excel spreadsheets using filters and basic formulas.
• Format Excel spreadsheets for printing and PDF conversion.
• Compile, edit, and create PDFs, including internal and external hyperlinks.
• Create bookmarked electronic binders.
• Prepare PDF forms, organize pages, apply redactions, and add headers and footers.
• Transcribe audio files using transcription software.
• Generate document comparisons using Litera Compare and Draftable.
• Assist with creating and formatting marketing materials and proposals.
• Troubleshoot document formatting and software issues.
• Prepare and send emails with attachments to clients on behalf of attorneys as needed.
• Stay current on technology and software used for document preparation.

Qualifications

• Advanced Microsoft Word skills, including automation, navigation, Track Changes, formatting, mail merge, styles, numbering, footnotes, endnotes, indices, tables of contents, and tables of authorities.
• Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
• Experience with NetDocuments or another document management system.
• Minimum typing speed of 80 WPM.
• Strong organizational skills and exceptional attention to detail.
• Ability to manage multiple projects and deadlines simultaneously.
• Ability to work independently and collaboratively.
• Comfortable working in a fast-paced, high-volume environment.

Preferred Qualifications

• Previous law firm or legal document production experience.
• Experience with Adobe PDF editing and document conversion.
• Experience with Litera Compare and/or Draftable.
• Familiarity with Adobe Photoshop and Visio.
• Experience with DocXtools is a plus.
