Appointment Clerk

We are seeking an organized and customer-focused Appointment Clerk to schedule, coordinate, and confirm appointments. This position serves as the first point of contact for internal and external customers and requires excellent communication, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:

• Schedule, confirm, and update appointments for customers, clients, and vendors.
• Communicate professionally by phone, email, and internal systems.
• Verify availability, service requirements, and required documentation.
• Maintain accurate appointment logs, records, and reports.
• Follow up on missed or rescheduled appointments.
• Collaborate with dispatch, operations, and customer service teams.
• Respond to inquiries and resolve scheduling conflicts promptly.
• Maintain confidentiality and follow company policies and procedures.

Qualifications:

• High school diploma or equivalent; associate degree preferred.
• 12 years of scheduling, administrative support, or customer service experience.
• Strong organizational, multitasking, and communication skills.
• Excellent attention to detail.
• Proficiency with Microsoft Office, including Excel, Outlook, and Word.
• Ability to learn scheduling, CRM, or logistics software.
• Ability to remain calm and professional under pressure.

Preferred Skills:

• Experience in logistics, transportation, or healthcare.
• Familiarity with CRM or TMS software.
• Bilingual English/Spanish skills are a plus.
