Part-Time Bilingual Administrative Assistant

We are looking for an organized, reliable, and professional bilingual Administrative Assistant to join our team immediately. This role is central to our daily operations, providing essential client communication and order management. You will serve as a key point of contact for clients in the U.S. and Spain, handling phone calls, email correspondence, order intake, and shipment tracking in SAP.

The ideal candidate possesses fluent professional communication in both English and Spanish, thrives in a time-sensitive environment, and exhibits exceptional follow-through. Experience with SAP is a plus, but we are fully willing to train the right candidate.

Location: Hollywood, FL

Schedule: Monday – Friday, 9:00 AM – 2:00 PM (25 hours/week)

Pay Rate: $20.00 – $21.00 / hour (depending on experience)

Responsibilities

• Answer incoming calls promptly and professionally in both English and Spanish.
• Manage email correspondence and conduct follow-up phone calls with clients located in Spain, ensuring professional tone and prompt resolution.
• Serve as a helpful, courteous liaison between clients and internal departments.
• Receive, verify, and log incoming customer orders accurately into SAP .
• Track order progress and inventory fulfillment within SAP from submission to delivery.
• Proactively follow up with shipping carriers and logistics partners to monitor transit times and resolve fulfillment delays.
• Provide clients with regular updates on order status, tracking information, and estimated arrival times.
• Organize daily call logs, email inquiries, and order records.
• Perform data entry, routine file updates, and basic record-keeping.
