Project Manager

We are a growing construction company delivering whole-home and multifamily retrofits throughout the country. Working through our own crews and an established subcontractor network, we complete HVAC replacements, insulation and air sealing, appliance upgrades, and plumbing and electrical improvements across single-family and multifamily properties as part of state funded programs. As we scale our current operation and prepare to enter additional states and programs, we are building a team designed to grow with us. Position Summary This Project Manager will be the operational center of our production process, keeping field crews, subcontractors, suppliers, back-office staff, and program administrators aligned, sequenced, and coordinated so that work finishes on schedule, is fully documented, and is ready to invoice. This is the first dedicated Project Manager role at our company. Reporting directly to the founding team, you will carry a clear mandate: enable the field to work faster, more effectively, and more successfully. Crews should never be delayed by a subcontractor, a delivery, a decision, or a document that could have been resolved in advance. You will be supported by an existing team from day one, and as the operation grows, you will be expected to hire, train, and delegate to the people who support you. Key Responsibilities Scheduling & Coordination Develop and maintain (in partnership with our back office infrastructure) the master schedule across all active single-family and multifamily projects, encompassing crews, subcontractors, inspections, deliveries, and equipment. Sequence high-volume multifamily production (multiple units per day over consecutive days, with appropriate buffer time) so that demo, mechanical removals, trade work, and finish work progress with speed. Subcontractor Management Schedule, manage, and coordinate HVAC, plumbing, and electrical subcontractors; confirm dates, hold them accountable to scope and timeline, and follow up daily to ensure every trade partner arrives confirmed and on schedule. Track subcontractor deliverables such as equipment specifications, submittals, and change items through to resolution rather than allowing them to stall. Continuously source, evaluate, and onboard new trade partners and supplemental labor as volume increases. Program Compliance & Documentation Manage and oversee the program project portal end to end, including job setup, timelines, scopes, photo documentation, deficiency tracking, and closeouts. Review field documentation for accuracy and completeness before submission; resolve deficiencies and address their root causes to prevent recurrence. Coordinate and oversee the completion and review of Manual J load calculations and other program-required technical documents, since accuracy in these materials directly protects revenue. Keep all program documentation current, including scopes, work orders, and health-and-safety plans, so that every job stays inspection-ready and audit-ready at all times. Procurement & Logistics Oversee material and appliance procurement, including advance ordering, curbside pickups, direct-to-site deliveries, and specification matching for HVAC equipment, appliances, and fixtures, so that crews remain productive on site. Arrange site services such as equipment rentals, cleaning, waste removal, and crew provisions on busy days, quickly and cost-effectively. Direct office support resources for ordering, pickups, and errands so that field hours are dedicated to production. Closeout & Reporting Maintain current project trackers for subcontracted work, self-performed work, and open items, each with clearly assigned owners and dates. Drive every project to full closeout and invoicing, resolving outstanding items before they delay completion. Identify risks, obstacles, and resource gaps for the founders early, accompanied by a recommended course of action. Measures of Success Crews are never delayed by materials, subcontractors, information, or approvals. Every active project maintains a current, accessible schedule and project / cost tracker. Program documentation is complete, current, and free of deficiencies. Closeouts and invoicing are completed on schedule. Field operations leadership is able to devote measurably more time to on-site work. Candidate Profile Three to seven or more years of construction project management experience; residential retrofit, mechanical/HVAC, multifamily renovation, weatherization, or energy-efficiency program work is a plus. Experience with compliance-intensive programs (utility, government, or incentive-funded) and their documentation standards, or the ability to learn this aspect quickly, is a significant advantage. Comfortable in the field, with the ability to walk a unit, interpret a scope, identify deficiencies, and confirm a project's readiness for inspection. Familiarity with HVAC scopes of work and the ability to review or manage Manual J load calculations, or to acquire that capability quickly. Exceptionally organized, with trackers, checklists, and disciplined follow-through as a standard way of working. A proactive operator rather than a task-taker, someone who anticipates needs, acts without being asked, and follows up without reminders. Entrepreneurial and self-directed, and comfortable taking ownership within a fast-scaling organization combined with exceptional ability to manage subordinates and grow a team. A strong communicator, effective managing upward to the founders, laterally with field leadership, downward with team / department, and outward with subcontractors, suppliers, and program staff. A valid driver's license and willingness to travel to project sites (10-20%), including occasional multi-state travel as the company expands.
