We are seeking a detail-oriented, organized, and energetic Office Associate to anchor our front desk and keep our distributor operations running smoothly. In this role, you will be the face and voice of our distributorship-handling everything from customer service and multi-line phones to essential accounting tasks (AP/AR) and general administrative support.

Qualifications:

• Education: High school graduate or equivalent
• Experience:
  • At least 1 year of administrative support experience in a warehouse or retail environment
  • At least 1 year of bookkeeping or accounting experience (including AP, AR, and collections)
• Technical skills: Proficiency in Microsoft Office (specifically Outlook and Excel), data entry skills, and experience operating muti-line phone systems
• Soft skills: Professional eqiquette, excellent verbal communication, organizational habits, and a keep attention to detail
• Adaptability: Ability to multitask and quickly transition between different tasks with a sense of urgency, while working effectively in a team environment

Work Environment & Physical Requirements

• Setting: Primarily an office environment, but the role requires regular exposure to battery warehouse conditions
• Physical Demands: Regular standing, walking, sitting, hearing, talking, and precise hand usage (grasping/handling). Prolonged use of a personal computer and telephone is required.
• Lifting: Occasional lifting of up to 25 lbs. without assistance.
• Vision: Specific vision abilities required include close vision, depth perception, and the ability to adjust focus.
• Safety: Use of Personal Protective Equipment (PPE) may be required depending on the task.

Supervision: This position works under general supervision, with regular reviews and support provided by the Manager.

Responsibilities

• Financial & Accounting Support: Accurately maintain accounts payable (AP) and accounts receivable (AR). Audit, pay, and file vendor invoices; manage collections; and prepare customer invoices, purchase orders, and delivery tickets efficiently.
• Period Closes & Deposits: Perform monthly, quarterly, and year-end close processes accurately and on schedule. Verify and process regular bank deposits.
• Data & Inventory Management : Upload/download handheld computer devices and process data on a set schedule. Maintain the dealer database, assist with inventory counts, and research any variances.
• Customer Service & Front Desk : Provide exceptional service both in person and over a multi-line phone system. Support the front counter retail area as needed.
• Operational Support : Perform all other administrative duties as assigned to support the management team.
