Event Planning Coordinator

About the Role Our client, a dynamic event management company specializing in corporate and private functions, is seeking a proactive and organized Event Planning Coordinator to join their team in Welkom, Free State . This role involves supporting the senior event managers in the planning, execution, and coordination of various events. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a passion for creating memorable experiences. Key Responsibilities Assist in the planning and execution of all aspects of events, from conception to completion. Coordinate with clients, vendors, and internal teams to ensure seamless event logistics. Manage event timelines, budgets, and vendor contracts. Conduct site visits and venue research for potential event locations. Develop event proposals, presentations, and run sheets. Handle client inquiries and provide exceptional customer service throughout the planning process. Oversee event setup, execution, and breakdown. Manage guest lists, RSVPs, and seating arrangements. Source and negotiate with suppliers for catering, decor, entertainment, and other services. Provide on-site support during events. Requirements Previous experience in event planning, coordination, or a related field is required (minimum 2 years). Strong organizational and project management skills with excellent attention to detail. Excellent verbal and written communication skills. Ability to multitask and manage multiple projects simultaneously under pressure. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software. A degree or diploma in Hospitality Management, Marketing, Communications, or a related field is preferred. Customer-focused attitude with a passion for delivering outstanding events. Ability to work flexible hours, including evenings and weekends as required by event schedules. Experience within the Welkom or Free State area is beneficial.
