Finance Team Assistant

NOW HIRING: FINANCE Team ASSISTANT IN PORTSMOUTH, VA! Pay: $19.00 - $23.00 per hour, depending on experience Schedule: Monday through Friday, 8:30 AM - 5:00 PM Benefits: Weekly Pay, Medical, Dental, Vision The Lee Group is seeking a detail-oriented Finance Team Assistant for a valued client in Portsmouth, VA. This position works closely with the Bookkeeper and supports bookkeeping, accounts receivable, accounts payable, administrative, and clerical functions. - Create customer invoices, obtain approvals, and distribute invoices with all required supporting documentation.
- Upload invoices and supporting documents to customer invoicing platforms when required.
- Track and fulfill customer invoicing requirements, including photographs, forms, and signatures.
- Verify material sourcing and sales tax information before exporting invoices.
- Maintain current sales tax exemption records and ensure compliance.
- Send monthly customer statements and communicate regarding payment status.
- Process customer payments, deposit checks, and resolve payment discrepancies.
- Enter accounts payable transactions and credit card receipts into accounting software.
- Scan, upload, and maintain supporting financial documentation.
- Maintain timely and accurate filing of job records.
- Retrieve and distribute mail from the post office box daily.
- Update customer contact and address information within company systems.
- Update pricing and costing information in the company price book.
- Assist with annual business license preparation and filing.
- Perform additional duties as assigned to support operational goals.
- Strong written and verbal communication skills.
- Excellent organizational and problem-solving abilities.
- Proficiency with QuickBooks Online and Microsoft 365, particularly Excel.
- Ability to understand and apply basic accounting and financial procedures.
- Ability to perform work accurately, efficiently, and with strong attention to detail.
- Valid driver's license with a good driving record.
- Demonstrated persistence, professionalism, and commitment to completing tasks thoroughly.
- Ability to work effectively as part of a team while maintaining accountability for individual responsibilities.
- Eagerness to learn new processes and continuously improve performance.
- Primarily office-based environment.
- Regular use of computers, phones, and standard office equipment.
- Ability to sit, stand, walk, bend, and reach throughout the workday.
- Occasional lifting of files, office supplies, and materials up to 25 pounds.
- Ability to maintain attention to detail while managing multiple priorities and deadlines.
