Vice President of Clinical Operations

The Vice President of Clinical Operations is a senior operational leader responsiblefor executing strategic priorities and directing the daily operations of Vitra in alignment with the goals and objectives of the organization. The Vice President of Clinical Operations reports to the Chief Executive Officer and leads operations across the communities Vitra serves throughout the state of Massachusetts.

The Vice President of Clinical Operations provides leadership and guidance to regional directors and managers, with oversight of the organization's core business operations, including healthcare delivery and Care Access.

Key Responsibilities

• Collaborates with the CEO and executive team in achieving deliverables aligned with organizational vision, operations strategy, and financial stewardship.
• Collaborates with the C Suite and Senior Management team on strategic planning, developing goals and objectives, and priority setting.
• Cultivates and sustains a culture that embraces engagement, teamwork, and accountability while exemplifying their areas of responsibility and leadership excellence.
• Translate strategy into actionable steps for growth, implementing organization-wide goal setting, performance management, and operational excellence.
• Oversee company operations and employee productivity, building a highly inclusive culture that ensures team members can thrive and that organizational goals are met.
• Utilizes data to lead changes and sustainable results.
• Knowledgeable of federal, state, and local laws and regulations, and proactively leads operations within compliance standards.
• Promotes clinical excellence and leads client satisfaction initiatives.
• Develops and mentors leaders within the organization.
• Build and maintain relationships with other professionals and organizations in the industry.

Vice President of Clinical Operations Duties and Responsibilities

• In collaboration with direct reports guides day to day operations and process improvement initiatives
• In collaboration with direct reports, strategically manages, organizes, and coordinates employees from different departments and locations to ensure efficiency.
• Utilize clear operational metrics to drive performance; develop best practices (with understandable data) to support effective decision making and accountability.
• Review the operations management structure; assess current leaders and develop and implement individual professional development plans, as needed.
• Leads the development of operational policies and procedures to ensure the smooth running of the organization.
• Design and implement models to measure program metrics and impact.
• Analyze internal operations and identify areas for process improvement.
• Ensure satisfaction and mutually beneficial relationships with program partners.
• Monitor performance with tracking software and take corrective measures when necessary and prepare detailed updates and forecasts.
• Ensures productivity and budget standards are met for areas of responsibility.
• Build and maintain trusting relationships with key customers, clients, partners, and stakeholders.
• In collaboration with the CFO and finance team, develop the annual operations budget and staffing plan.
• Ensure financial success of areas of responsibility through close monitoring of revenue and expenses, smart financial decision-making, and collaboration with department heads.
• Oversee periodic assessment of current technology infrastructure and pursue the next level of information technology.
• Design, implement, and manage business operations to deliver and optimize revenue and earnings forecast accuracy and performance.
• Constantly monitor financial, customer, and employee performance, refine processes, and align resources for the customers’ ultimate success and business performance.
• Establishes, tracks, and reports key performance indicators (KPIs) for operations; prepares and presents regular performance reporting to the CEO and executive team
• Provides budget oversight for all areas of responsibility, including managing operating and departmental budgets, monitoring variances, controlling costs, and approving expenditures within established authority
• Performs any other additional duties that may be required by management at any time
• Foster a Culture of Customer Service and Commitment to Quality Care
• Serve as a brand ambassador for Vitra, reflecting our vision, mission, and values.

What we are looking for:

• A master's degree from an accredited college or university with a specialization in Hospital Administration, Business Administration and or equivalent
• A minimum of eight years of successful progressive healthcare operations management experience
• A demonstrable record of significant career progression, with proven success in a senior operations leadership role.
• High level, complex problem-solving abilities both in groups and in one-on-one situations
• Demonstrated success in leading process improvement initiatives and financial metrics.
• Highly developed expertise in quantitative analysis to support definition and advancement for the facility's goals and objectives.
• Experience building equitable practice into operations systems.
• Exceptional capacity for managing and leading people; a team builder who can connect with staff individually and in groups; track record of developing and empowering others to succeed.
• Understanding of advanced business planning and regulatory issues
• A demonstrated track record of acting as an innovative thought leader and business partner to the leadership team.
• Ability to gain insights through relationships with front-line and mid-level personnel.
• Solid grasp of data analysis and performance metrics
• Working knowledge of IT/Business infrastructure and MS Office
• Ability to diagnose problems quickly and foresee potential issues.
• Familiarity with MassHealth regulations governing Adult Foster Care programs
• Comfortable and proficient with reporting and managing key performance indicators (KPIs), including building, interpreting, and presenting operational reports to leadership; reports on KPIs, identifies areas for improvement, and ensures execution
• Proficient with Microsoft Excel, including formulas, pivot tables, and dashboard reporting
• Proven ability to thrive in a fast-paced environment while managing multiple priorities concurrently

Work Environment and Physical Requirements

• Office-based work in a clean well-lit environment with fluctuating temperatures near others.
• Client-facing field staff and community liaisons require frequent travel to client homes or community settings; ability to drive safely; work in client homes may involve varying temperatures, odors, allergens, pets, and other environmental factors.
• Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
• Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to negotiate stairs; requires visual acuity and manual dexterity to operate equipment.
