Patient Services Manager

Summary The Patient Services Manager is responsible for daily front‑desk operations and the supervision and development of administrative staff. They maintain a positive, professional, and team‑oriented front‑desk environment, ensuring operational performance, stability, and customer service excellence in line with company core values. Responsibilities Review the analytics platform, provider schedules, and patient accounts weekly. Ensure optimal patient access through cross‑clinic collaboration, scheduling, work queue management, central scheduling support, and Manager involvement. Ensure front‑desk team members are proficient in all best‑practice operations as detailed in their job descriptions. Supervise and coach team members to meet metrics on visit capacity, collections, and new referral follow‑through. Serve as the administrative lead for issue escalation and resolution. Meet with the direct Manager to review clinic initiatives, analytics, goals, and metrics weekly. Develop relationships with the local Physician Administrator. Manage the performance appraisal cycle of support staff. Manage staff time‑off and coverage options. Conduct on‑site interviews for new hires, as applicable. Handle tasks in new‑hire, transfer, and termination processes. Attend monthly management meetings and conference calls as required. Communicate effectively with company staff and use company resources appropriately. Participate in special projects or other clinic coverage as requested. Assist in maintaining a clean and safe work environment. Perform all other duties as assigned. Fast‑paced professional office setting. Routine use of standard office equipment (computers, phones, photocopiers, filing cabinets, scanners, fax machines). Travel required for meetings or coverage. Education and Skills Requirements Bachelor's Degree or higher (healthcare concentration preferred) or equivalent of 3 years customer service management experience (healthcare background preferred). Bilingual Spanish preferred. Effective writing and verbal communication skills. Technical skills such as EMR, practice management, Windows, MS Office, email, and internet navigation. Typing speed minimum 40 wpm. Physical Requirements Lift a maximum of 20 pounds to waist height. Stand and sit frequently throughout the day. Work on a computer frequently throughout the day.
