Parish Business Administrator

The parish business administrator works closely with the pastor of the parish and principal of the school to steward the gifts the Lord has given us for the advancement of the Kingdom of God, starting with our local area. Their duties include ensuring the parish administration is congruent with the parish’s mission and the pastor’s stated intentions, overseeing financial processes, managing parish property, and handling office and employment procedures in a manner that supports the pastor and enables all ministries, including the school to function effectively. Employment in and by the Catholic Church is substantially different from secular employment. Church employees must conduct themselves in a manner consistent with and supportive of the mission and purpose of the Church. Their behavior must not violate the faith, morals or laws of the Church or the Archdiocese of Saint Paul and Minneapolis, nor can it embarrass the Church or give rise to scandal. It is required that this employee be a Catholic. Representative Responsibilities Relationship with Pastor Recognizes and respects the ultimate authority of the pastor who delegates and encourages independent decision‑making and action when appropriate. Reports directly to the Pastor on a regular basis regarding parish ministries, operations, and mission effectiveness. Provides advice, feedback, and support to the pastor; acts as a resource on matters relating to parish operations. Assists in maintaining strong memberships on councils and commissions. Develops and evaluates goals for the parish in cooperation with the pastor and the finance and parish pastoral councils. Carries out special projects and other assignments as requested by the pastor. Management Functions Supervises staff and assists them in developing annual performance goals, objectives, and action plans; helps them understand and follow the pastor’s intentions. Works with ministry department leaders to promote team leadership and develop an integrated parish calendar of events, activities, and services. Creates a positive and productive work environment by providing support, encouragement, and recognition to employees and volunteers. Develops a sound salary and benefits program for all personnel. Ensures compliance with parish personnel policies, federal and state employment laws and Archdiocesan policies. Develops and implements safety and security policies. Conducts annual performance evaluations of supervised staff and oversees the review process for parish employees; determines staff compensation in consultation with the pastor. Recruits, interviews, hires, disciplines or terminates personnel under the direction of the pastor or in consultation with resources; manages personnel files. Oversees and participates in all long‑range planning for the parish. Finance Functions Assists the pastor in overseeing all financial aspects of the parish, including financial planning, investment strategies, allocations to school, Penny Wise, and Cemetery, accounting, banking relationships, budgeting, insurance, risk management, and stewardship. Oversees the annual budgeting process and ensures compliance with the approved budget and its conformity with the parish mission. Oversees the Archdiocesan insurance program for the parish. Manages data collection, computer systems, and software programs, improving them as needed. Implements a parish‑wide purchasing program to encourage sound purchasing practices and adherence to approved budgets. Ensures compliance with Archdiocesan financial policies, procedures, and requirements. Parish and Community Functions Facilitates staff meetings; attends finance council, parish pastoral council, and other commission or committee meetings as required; receives agendas prior to meetings. Actively participates in parish and staff activities, and in professional enrichment and continuing education programs. Promotes and maintains a respectful and effective working relationship with Archdiocesan officials and staff. Represents the parish in local and civic forums to ensure parish interests are considered in municipal decision‑making. Facilities/Cemetery Oversees maintenance of physical plant and grounds, including the parish cemetery, ensuring compliance with applicable codes and regulations. Works with maintenance and facility personnel and cemetery committee to ensure effective operation and maintenance of the cemetery. Is responsible for upkeep and maintenance of all parish properties and long‑range planning for these properties, including the Grace Family Center, School, Pace Center, Church, cemetery, and surrounding property. Additional Essential Job Functions Present as needed to meet responsibilities; respond promptly and reliably; demonstrate punctuality and attendance. Organize, prepare and maintain files and information from fax, email and other sources; ensure receipt, follow‑up, and availability as required. Maintain and improve work knowledge and skills, including comprehension of procedures, computing, and building management. Communicate effectively with staff, guests, school families, and parishioners; keep superiors informed. Create a productive environment with harmony, morale, and teamwork; monitor self‑productivity and take corrective action. Maintain appropriate confidentiality of all work data. Other Responsibilities Includes any additional responsibilities identified as needed by the employee and approved by the pastor.
