GENERAL PURPOSE: The Property Manager is the senior on-site management representative for a premier retail shopping center, responsible for day-to-day operations, financial performance, tenant relations, maintenance oversight, and the local execution of marketing, events, and community engagement programs. Working with corporate leadership across Operations, Marketing, Leasing, Accounting, Asset Management, Tenant Coordination, and Specialty Leasing, the Property Manager maintains the property at a first class standard, delivers an exceptional customer experience, and advances ownership objectives. The role is a key contributor to asset value through operational excellence, financial discipline, and tenant retention.
KEY RESPONSIBILITIES/DUTIES: Responsibilities include but are not limited to:
OPERATIONS AND PROPERTY MANAGEMENT
- Maintain the property, common areas, landscaping, and parking areas at a first-class standard, and conduct routine interior and exterior inspections with prompt resolution of deficiencies.
- Oversee maintenance programs, building systems, capital projects, and vendor services.
- Ensure compliance with company policies, operating procedures, lease requirements, and local regulations.
- Assist in developing and executing annual business plans, property objectives, and capital improvement initiatives.
- Monitor service levels and operational performance to ensure a superior tenant and customer experience.
FINANCIAL MANAGEMENT
- Assist in preparing and administering annual operating budgets and forecasts.
- Track and bill percentage rent and tenant billbacks, and coordinate annual CAM, tax, and operating expense reconciliations.
- Review monthly financial statements, prepare variance reports, and recommend corrective action.
- Approve expenditures within established authority levels and budget guidelines, including event and program costs charged against the approved marketing budget.
- Monitor accounts receivable and support rent collection and delinquency management.
- Partner with Accounting on timely, accurate reporting and assist with ownership reports and budget presentations.
TENANT RELATIONS
- Build and maintain professional relationships with tenants through regular visits and prompt response to questions and operational issues.
- Work with Leasing and Tenant Coordination to facilitate openings, expansions, relocations, and renewals.
- Monitor tenant compliance with lease obligations and center operating requirements.
- Promote retention through proactive communication and resolve disputes professionally and promptly.
MARKETING, EVENTS, AND COMMUNITY RELATIONS
- The Property Manager owns the property's marketing strategy, brand standards, digital channels, and marketing budget. The Property Manager is accountable for local input, on-site execution, and community presence.
- Provide local market input into the annual marketing plan and recommend property level initiatives, promotions, and event concepts.
- Working with third party vendors, execute approved marketing, promotional, and event programs on site, including seasonal programs, sponsorships, and retailer activations.
- Coordinate all on-site event logistics, including vendor scheduling, permitting, staffing, setup and breakdown, safety, and cleanup.
- Collaborate with tenants on grand openings, retailer events, and promotional campaigns, and coordinate tenant participation in center wide programs.
- Serve as the property's local representative with businesses, chambers of commerce, schools, nonprofit organizations, municipal agencies, and community leaders, and attend community and networking functions.
- Supply local content, photography, event information, and tenant news for the property website, social channels, and customer communications.
- Report event participation, traffic impact, tenant feedback, and program results to the Vice President, Property Management.
SECURITY, RISK MANAGEMENT, AND LIFE SAFETY
- Partner with security providers to maintain a safe and secure environment and oversee daily security operations and staffing levels.
- Support emergency preparedness, business continuity, fire life safety, and risk management programs.
- Coordinate with law enforcement, fire departments, and emergency response agencies as needed.
- Review incident reports, implement corrective action, and ensure parking, pedestrian, and common areas remain safe, clean, and properly maintained.
VENDOR AND CONTRACT ADMINISTRATION
- Assist in procuring, negotiating, and administering vendor contracts and service agreements, including obtaining bids for services and capital projects.
- Monitor vendor performance against company standards and contractual obligations.
- Verify vendors maintain required licensing, insurance coverage, and compliance documentation.
REPORTING AND PERFORMANCE MANAGEMENT
- Prepare monthly operational and financial reports for the Vice President, Property Management.
- Track key property metrics including traffic, occupancy, collections, expenses, work order completion, response times, and tenant satisfaction.
- Monitor rent roll accuracy and ensure lease escalations and billing adjustments are properly applied.
- Monitor delinquencies, recommend action plans, and participate in weekly management and operational review meetings.

QUALIFICATIONS
Education: College degree in business administration, real estate, finance, property management, marketing, or a related field preferred.
Experience: Minimum five (5) years in retail, mixed use, shopping center, or commercial property management, including experience with operating budgets, vendor contracts, tenant relations, and the on-site execution of marketing programs and special events. Demonstrated success in financial management, operations, and customer service. Community engagement and event planning experience preferred.
Skills: Strong financial, operational, and analytical ability. Advanced proficiency in Microsoft Office, including Excel, Word, PowerPoint, and Outlook. Yardi or comparable property management software preferred. Excellent verbal and written communication. Strong organizational, project management, leadership, and relationship building skills, with proven ability to manage multiple priorities, work independently, and identify and implement operational improvements.
PHYSICAL REQUIREMENTS AND SCHEDULE
- Regularly walks the property and conducts inspections in indoor and outdoor environments, including extreme summer heat.
- Occasionally lifts, carries, pushes, or pulls up to 25 pounds.
- Works evenings, weekends, and holidays as business needs require, and responds to emergencies and operational issues outside normal business hours.
