The AP Site Lead is responsible for planning, coordinating, and executing operational aspects of AP Reading events, for up to multiple AP subjects, at an assigned Reading site. This role ensures smooth logistics, adherence to timelines, and effective communication with leadership teams throughout the planning, production, and post-production phases. The role supports the on-time scoring of all AP constructed responses in accordance with the terms of the College Board Contract. Travel is required to one of four cities to support the work. Travel expenses will be reimbursed.

PRIMARY RESPONSIBILITIES

End-to-End Annual Planning and Process Improvements

• Provide support to the Scoring and Reporting Team by managing key planning task

• Participate in process improvement efforts, provide suggestions and work to change processes

• Help Build annual food and beverage requirements with the College Board

• Duties as assigned to support the team’s planning efforts

• Build Scoring Strategies and maintain a strong working relationship with multiple Chief Readers

Logistical Management

• Maintain event calendars, including staff arrivals, leadership dinners, and open forums.

• Coordinate opening/closing night events and professional night activities.

• Validate floor plans and AVIT requirements; liaise with SROPS contracts for setup needs.

• Arrange transportation logistics, including rental car pickups.

• Confirm security and housing desk schedules; collaborate with Adecco and AP contracts team.

• Develop meal and break schedules; review and quality-check information guides.

• Prepare Open Forum matrix and Info Guides; schedule meetings with key stakeholders.

• Attend Chief Reader webinars and ensure pre-reading deadlines are met.

Financial Management and reporting

• Process travel vouchers for their supported subject’s Readers following the Reading

• Submit gas cards, track receipts, and Chief Assistant forms to AP contracts team.

• Update floor plans for next year based on on-site changes.

• Reconcile P-Card and finalize expense reporting.

KNOWLEDGE / SKILLS

• Strong organizational and project management skills.

• Ability to manage multiple priorities under tight deadlines.

• Excellent communication and interpersonal skills.

• Proficiency in Smartsheet, BI Dashboard, and Microsoft Office Suite.

EDUCATION AND EXPERIENCE

• A Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is necessary.

• 3 years of experience in event coordination, logistics or operations management

• Flexibility Required: 40 hours per week scheduled, with an increase to 40+ hours during peak seasons. Weekend /Extended Hours. 15% Travel is required.

• The base salary range advertised represents the low and high end of the anticipated salary range for this position. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. The base pay is only one aspect of the Total Rewards Package that will be offered to the successful candidate.
