Patient Admin Specialist (PAS)

We are looking for a Patient Admin Specialist (PAS) to support front-desk and patient registration activities in an outpatient clinic in Pleasanton, California. This Long-term Contract position is ideal for someone who thrives in a fast-paced healthcare setting and can deliver organized, courteous service to patients, providers, and internal teams. The role focuses on appointment coordination, surgery scheduling, patient check-in and check-out, and a wide range of administrative duties that help keep daily clinic operations running smoothly.Responsibilities:• Welcome patients at the front desk, guide them through check-in and check-out, and respond to routine questions about appointments, payments, and scheduling.• Coordinate new patient intake and assist with surgery scheduling while aligning appointments with provider availability and clinic priorities.• Communicate with physicians and clinic staff to address scheduling requests and help accommodate urgent patient needs when appropriate.• Support patient and provider interactions by using approved reference materials, office tools, and established administrative procedures.• Maintain accurate records by updating databases, managing directories, and completing internal forms and documentation in a timely manner.• Respond to non-clinical inquiries received through CRM systems and patient messaging channels, escalating issues to the appropriate team when needed.• Handle incoming and outgoing administrative materials, including faxes, mail distribution, scanning, filing, and clinic-specific document management.• Contribute to high service standards by staying organized, managing multiple priorities, and supporting efficient daily clinic operations.
