Overview

We are seeking a customer-focused, adaptable, and dependable Multi-Site Office Services Associate to support various customer locations across the Peninsula, South Bay, and East Bay areas of California. This role provides a variety of office support services, including mailroom operations, shipping and receiving, copy and production services, reception, hospitality, and conference room setup. The ideal candidate will be comfortable working independently or as part of a team, adapting to different customer environments, and traveling between assigned locations based on daily business needs. This is a temporary position with the potential to become a permanent opportunity based on performance and business requirements.

Key Responsibilities

• Provide office services and administrative support across multiple customer locations.
• Handle incoming and outgoing mail, packages, shipping, receiving, and mail distribution.
• Operate copiers, printers, scanners, and other office equipment to support copy and production center operations.
• Perform reception duties, including greeting visitors, answering phone calls, and directing inquiries appropriately.
• Assist with hospitality services, including preparing meeting spaces and coordinating conference room setups.
• Maintain organized workspaces, supply areas, mailrooms, and copy centers.
• Adapt to different customer environments, including law firms, corporate offices, retail offices, and warehouse facilities.
• Work independently at single-person sites or collaborate effectively with other team members at larger locations.
• Respond to customer requests, resolve routine service issues, and coordinate problem resolution when necessary.
• Follow established procedures, service standards, and customer-specific instructions.
• Take initiative, ask questions, maintain training notes, and learn new processes quickly.
• Remain flexible to changes in daily assignments, including reporting to alternate locations before the start of a shift.
• Use Microsoft Office applications, computer systems, network folders, and file management tools to complete assigned tasks.
• Accurately prepare and submit monthly expense reports in a timely manner, following required coding procedures.
• Maintain productivity, accuracy, and quality while completing repetitive tasks and managing competing priorities.
• Provide reliable support during changing schedules and business needs, including occasional early mornings, evenings, or weekends.

Required Qualifications

• High school diploma or equivalent.
• At least 12 months of relevant work experience in customer service, office services, mailroom operations, reception, hospitality, or administrative support.
• Strong customer service, communication, and interpersonal skills.
• Intermediate computer skills, including proficiency with Microsoft Office applications and file management.
• Ability to follow written and verbal instructions and translate customer requests into appropriate actions.
• Strong organizational skills, attention to detail, and basic mathematical skills.
• Ability to troubleshoot routine problems, exercise sound judgment, and take appropriate action.
• Ability to work independently with minimal supervision and collaborate effectively within a team.
• Flexibility to work at multiple customer locations across the Peninsula, South Bay, and East Bay, including accounts located approximately 40-50 miles apart.
• Ability to adapt to changing assignments, customer environments, priorities, and schedules.
• Ability to stand, walk, bend, reach, and perform physical tasks for extended periods.
• Ability to lift and move items weighing up to 50 pounds without assistance.

Preferred Qualifications

• Post-secondary education or relevant vocational training.
• Previous experience in office services, mailroom operations, shipping and receiving, copy centers, reception, hospitality, or facilities support.
• Experience working in professional office environments, law firms, corporate offices, or warehouse settings.
• Experience supporting multiple locations or managing responsibilities independently.

Work Schedule and Location

• Work Locations: Multiple customer sites throughout the Peninsula, South Bay, and East Bay, including San Mateo, Redwood City, Palo Alto, San Jose, Santa Clara, Sunnyvale, Fremont, Oakland, and Livermore.
• Schedule: Typically Monday through Friday, 8:00 AM-5:00 PM; flexibility is required for locations with earlier opening times, later closing times, and occasional weekend assignments.
• Travel: Must be flexible to report to alternate customer locations as business needs require. Reliable transportation may be necessary to reach assigned sites.
• Parking and Mileage: Free parking is available at customer locations. Eligible mileage and parking expenses are reimbursable according to company policy. Mileage reimbursement for commuting begins after the first 15 miles each way.
  Work primarily takes place in office and warehouse environments with standard lighting, ventilation, temperature, and noise levels.
• Requires frequent standing, walking, bending, reaching, stretching, and other physical activities.
• Must be able to lift or move items weighing up to 50 pounds without assistance.
• May occasionally be required to push or pull wheeled equipment weighing up to 400 pounds when necessary for relocation or repairs.
• May involve walking between buildings, working at different facilities, and performing repetitive tasks.
• Requires regular computer and keyboard use, hand-eye coordination, and close vision.

Additional Requirements

• No driving of Ricoh or customer vehicles is required while working as a contingent worker.
• A valid, violation-free driver's license, reliable transportation, and minimum auto insurance coverage may be required depending on the assignment or future employment status.
• Candidates who convert to permanent Ricoh employment must meet the applicable company driving and auto insurance requirements.
