SOW (Statement of Work) Specialist

Job Summary:

A Statement of Work (SOW) Specialist manages the end-to-end lifecycle of project-based services engagements, ensuring compliance, cost control, and adherence to company policies. They bridge the gap between internal managers and vendors, defining project deliverables, milestones, and payment terms to prevent scope creep and ensure adherence to contract terms.

Key Responsibilities & Tasks

• SOW Intake & Initiation: Review new SOW requests for completeness, validating scope, deliverables, and commercial terms before routing for approvals (procurement, legal, finance).
• Contract Management: Draft, negotiate, and amend SOW terms, ensuring consistency with Master Service Agreements (MSAs).
• Vendor/Manager Liaison: Act as the primary contact for inquiries regarding SOW processes, ensuring clear communication between stakeholders and vendors.
• System Administration: Use Vendor Management Systems (VMS) (e.g., SAP Fieldglass, Beeline, Coupa) to track SOW status, spending, and milestones.
• Compliance & Risk Mitigation: Ensure project deliverables are met and prevent unauthorized "staff augmentation" disguised as project work.
• Data Analysis & Reporting: Compile reporting on SOW cycle times, expenditure, and vendor performance.

Required Skills:

• 3–5 years of experience in MSP, VMS operations, services procurement, and SOW management.
• Experience in PMO, project coordination, contract management, or procurement roles.
• Hands-on experience with SAP Fieldglass, Beeline, or Coupa.
• Strong understanding of procurement processes, project management, and SOW lifecycle management.
• Experience in drafting, reviewing, negotiating, and standardizing outcome-based SOWs.
• Strong contract negotiation, pricing, and vendor management skills.
• Excellent verbal and written communication skills with the ability to effectively engage stakeholders, suppliers, and cross-functional teams.
• Advanced analytical and reporting skills, including proficiency in Microsoft Excel for data analysis, reporting, and performance tracking.
• Strong organizational, problem-solving, and multitasking abilities in a fast-paced, deadline-driven environment.
• Bachelor’s degree in Business, Procurement, Supply Chain, or a related field.
