Program Associate

Support the Program Manager across programmatic operations to implement WAI’s registered apprenticeship program Provide occasional support for other programs Support development of work plans and ensure milestones and deliverables are met Conduct basic internet research and gather information Organize and facilitate internal team meetings Monitor project milestones and track overall progress Process applications for financial support from partner organizations and verify compliance with program rules Collect and share information with programmatic partners Create template forms Support program communications strategies and contribute to external communications, outreach materials, and website content Track reporting requirements and notify appropriate staff Compile reports and other documents from staff inputs Assist with program database entry and data quality requirements Organize and maintain programmatic files Track grant requirements and relevant federal guidance updates Track project budgets and workflows Review and support invoice processing Prepare routine reports and process expense statements, reimbursements, and travel authorizations Book travel and arrange on-the-ground logistics Schedule meetings and update calendars for programmatic meetings and staff Coordinate meeting logistics, distribute materials, and take notes Prepare meeting notes and summaries with action items Organize and save meeting notes across multiple platforms Create spreadsheets and assist with presentations, PowerPoints, and graphs Requirements Excellent computer skills with proficiency in all Microsoft Office and Google Suite applications Proficiency with database, project management, and spreadsheet software Capability to manage project workflows and collaborate asynchronously using performance management software such as Asana Ability to adapt and integrate new technology trends to automate and streamline work Ability to interpret and apply organizational policies and procedures accurately Excellent written and oral communication skills Professional, courteous, and tactful manner in the office and on the telephone Solid understanding of the internal structure of the
