We are looking for a Bilingual Receptionist to support daily front-desk operations in Janesville, Wisconsin. This Long-term Contract position is ideal for someone who enjoys creating a welcoming environment, managing communications efficiently, and keeping administrative tasks organized. The person in this role will serve as a key point of contact for visitors and callers while helping ensure office workflows run smoothly.

Responsibilities:

• Greet visitors professionally, provide direction, and create a positive first impression for everyone entering the office.

• Manage a multi-line phone system, respond to inbound calls promptly, and route inquiries to the appropriate contacts.

• Coordinate calendars and schedule appointments, meetings, or other office activities with accuracy and attention to timing.

• Support outgoing communications by preparing and organizing bulk mailings and related administrative materials.

• Maintain front-desk organization by handling routine clerical tasks and ensuring records and information are kept up to date.

• Use Microsoft Excel to track information, update logs, and assist with basic reporting or administrative documentation.

• Create or format simple visual materials and office communications using Canva when needed.

• Assist team members with general receptionist and administrative support to help day-to-day operations stay efficient.Bilingual

• At least 1 year of experience in a receptionist, front-desk, or similar administrative support role.
• Demonstrated ability to handle a multi-line or switchboard phone system in a fast-paced environment.
• Strong verbal communication skills with a courteous and detail-oriented phone presence.
• Experience scheduling appointments or coordinating calendars with a high level of accuracy.
• Proficiency with Microsoft Excel for basic data entry, tracking, and organization.
• Familiarity with preparing bulk mailings or supporting office-wide administrative tasks.
• Working knowledge of Canva for creating or updating simple visual or communication materials.
