Project Administrator The Project Administrator provides comprehensive administrative and documentation support to construction project teams. This role actively supports project managers and estimators through preconstruction activities, project documentation, coordination of communications, and day‑to‑day operational support across multiple projects. Responsibilities Provide administrative and documentation support to construction project teams throughout all project phases. Assist project managers and estimators with preconstruction tasks, including gathering, organizing, and preparing project documentation. Prepare, track, and manage purchase orders, contracts, and submittals to ensure accuracy, completeness, and timely processing. Support contract management activities, including maintaining contract files and monitoring compliance with contract requirements. Coordinate and schedule meetings with internal teams and external stakeholders, ensuring all required materials and documentation are prepared in advance. Assist with the preparation, tracking, and processing of lien waivers and other project‑related legal or financial documents. Support project documentation control, including organizing, filing, and maintaining electronic and physical project records. Help ensure project documentation complies with construction contracts, specifications, and regulatory requirements. Assist with project scheduling activities and help maintain up‑to‑date schedules in coordination with project managers. Communicate regularly with clients, general contractors, subcontractors, insurance companies, and other external partners regarding project documentation, billing, and related needs. Collaborate daily with owners, project managers, and internal staff to support smooth project operations. Utilize construction management software and Microsoft Office tools to prepare reports, track documentation, and support project communication. Support billing‑related documentation by coordinating with internal and external stakeholders to gather necessary information. Contribute to maintaining a professional, organized, and efficient office environment that supports a strong team culture. Essential Skills 5–7 years of experience in construction administration or project support roles preferred. Background in the construction industry, specifically with a general contractor or subcontractor in a previous role. Experience working with purchase orders, contracts, submittals, and scheduling in a construction environment. Basic understanding of construction processes and documentation. Ability to read and interpret construction drawings and specifications. Experience supporting multiple construction projects simultaneously. Familiarity with construction contracts and compliance requirements. Strong organizational and time‑management skills with the ability to prioritize and meet deadlines. Excellent written and verbal communication skills for interaction with internal teams and external partners. Proficiency with Microsoft Office applications. Experience using construction management software such as Microsoft Teams, Building Connected, and Procore. Additional Skills & Qualifications Bachelor’s degree in Construction Management, Business Administration, or a related field, or equivalent experience. Experience in document control, billing support, and coordination with external stakeholders such as clients, general contractors, subcontractors, and insurance companies. Ability to work effectively in a fast‑paced environment while maintaining attention to detail. Strong interpersonal skills and the ability to build collaborative working relationships with project teams and external partners. Work Environment This role is based in a mid‑sized, family‑owned and operated office environment and requires working on‑site in the office five days per week. The Project Administrator works closely with owners, project managers, and internal staff on a daily basis, while also engaging regularly with clients, general contractors, other subcontractors, insurance companies, and additional external stakeholders for document control, billing, and project coordination. The work setting emphasizes a supportive culture, flexibility as needed for the role, and frequent use of Microsoft Office and construction management software tools to manage documentation and communication. Job Type & Location This is a Contract to Hire position based out of Birmingham, AL. Pay and Benefits The pay range for this position is $28.85 - $33.65/hr.
