Position Summary

The Seasonal Special Event Attendant serves as a frontline representative of World Equestrian Center during signature events and special experiences. This guest-facing position plays an important role in delivering exceptional hospitality and ensuring that every guest interaction reflects the World Equestrian Center brand and its core values of Quality, Class and Distinction.

Seasonal Special Event Attendants are expected to create a welcoming, polished and professional environment through courteous service, confident communication, attention to detail and a genuine desire to assist guests. Every interaction is an opportunity to positively contribute to the guest experience and help create lasting memories.

Essential Duties & Responsibilities

Responsibilities may vary by event and assignment and may include, but are not limited to:

•  Welcome and engage guests in a warm, courteous and professional manner.

•  Assist with guest check-in, admissions, ticketing and event entry procedures.

•  Provide directional assistance and general event and property information.

•  Assist with queue and line management while maintaining an organized and positive guest experience.

•  Support event pre-set, opening preparations, resets and event closeout as assigned.

•  Maintain the appearance, cleanliness and organization of assigned guest-facing areas.

•  Clean, organize and reset interactive event props, displays.or guest experience elements.

•  Restock event materials, supplies and guest amenities as necessary.

•   Monitor assigned areas and proactively identify opportunities to assist guests.

•  Communicate guest concerns, operational issues or unusual circumstances promptly to the appropriate event supervisor.

•  Recognize when a guest request or concern requires additional assistance and confidently engage a supervisor or appropriate team member rather than leaving an issue unresolved.

•  Assist other event areas or departments when operational needs require additional staffing support.

•  Follow event-specific procedures, safety requirements and instructions provided by event leadership.

•  Perform additional event-related duties as assigned.

Seasonal Special Event Attendants are ambassadors of the World Equestrian Center experience and are expected to consistently demonstrate the organization's standards of Quality, Class and Distinction.

•   Maintain a courteous, welcoming and service-oriented demeanor.

•  Communicate clearly, respectfully and professionally with guests and fellow team members.

•  Demonstrate positive body language, appropriate posture and professional physical communication while in guest-facing areas.

•  Remain attentive and approachable and avoid behaviors that may appear disengaged or unwelcoming.

•  Anticipate guest needs whenever possible and look for opportunities to provide assistance.

•  Understand that even brief interactions can significantly influence a guest's overall impression of the event and property.

•  Maintain composure and professionalism when assisting guests with questions, concerns or unexpected situations.

•  Seek assistance from event leadership whenever a situation exceeds their knowledge, authority or ability to appropriately resolve.

•  Protect the quality and integrity of the guest experience at all times.

Appearance & Grooming Standards

Seasonal Special Event Attendants are expected to maintain a polished, professional appearance appropriate for a luxury hospitality and special event environment.

•  An approved event shirt will be provided.

 

 

 

•   Employees are responsible for providing appropriate black pants and black shoes that meet established event uniform standards.

•  Uniforms must be clean, neat and appropriately fitted.

•  Personal grooming must meet World Equestrian Center standards.

•  Employees are expected to maintain professional posture, presentation and body language throughout their shift.

•  Additional event-specific appearance or uniform guidelines may be communicated prior to an assignment.

 

Attendance & Scheduling

Signature events depend upon every scheduled team member being present and prepared to work their assigned position.

•  Arrive on time and fully prepared to begin work at the scheduled start time.

•   Understand that late arrivals and last-minute absences can directly impact event operations, fellow team members and the guest experience.

•  Provide a minimum of 12 hours' notice when unable to report for a scheduled shift, except in emergency circumstances.

•  Remain flexible regarding assignments, as operational needs may change throughout an event.

•  Work evenings, weekends and holidays when required by the event schedule.

Training

Event-specific training will be provided and may include:

•  Event overview and programming

•  World Equestrian Center property familiarity

•  Guest service and hospitality expectations

•  Event layout and guest flow

•  Ticketing and check-in procedures

•   Queue management

•  Safety and emergency procedures

•  Escalation and supervisory communication

•  Brand standards and expectations

Employees are expected to actively participate in training and arrive at their assigned event familiar with the information necessary to confidently assist guests.

Previous experience in hospitality, resorts, attractions, special events, entertainment, food and beverage, retail or other guest-facing environments is preferred but not required.

Physical & Work Environment Requirements

Depending upon the event assignment, employees may be required to:

•  Stand and/or walk for extended periods.

•  Work indoors and outdoors in varying weather conditions.

•  Bend, reach and perform light event setup or reset activities.

•  Move or carry event supplies and materials within established safety guidelines.

•  Work in environments with large crowds, varying noise levels and changing operational conditions. Reasonable accommodations may be provided in accordance with applicable law.
