Department Summary The mission of the Ballmer Institute for Children's Behavioral Health at the University of Oregon is to expand equitable access to behavioral health support for children and families by training behavioral health providers, advancing research, and strengthening community capacity. Our vision is to ensure that all children have the support they need to thrive. To achieve this vision, the Ballmer has launched the nation's first undergraduate program in child behavioral health. This program lays the foundation for a credentialed bachelor's-level behavioral health profession grounded in evidence-based practices that will expand access to care and provides a model that can be scaled nationally.
This groundbreaking institute was made possible by an extraordinary gift from Connie and Steve Ballmer, co-founders of Ballmer Group Philanthropy, and is located on the UO Portland campus. Position Summary The Operations Coordinator provides administrative, operational, and event coordination support to leadership and organizational initiatives. The role is responsible for coordinating meetings, managing schedules and communications, tracking action items, and supporting project-related activities to help ensure smooth day-to-day operations.
The position also supports the planning and delivery of in-person and virtual events by coordinating logistics, participant communications, travel arrangements, vendors, meeting technology, and post-event administration. In addition, the role provides administrative support to senior leaders through calendar management, meeting coordination, travel planning, and handling confidential information with professionalism and discretion.
Success in this role requires strong organizational skills, attention to detail, effective communication, the ability to manage multiple priorities, and a customer-service mindset when working with internal and external stakeholders.
This position is based in Portland, Oregon. The position reports to the Senior Director and Chief of Staff. Minimum Requirements Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
An Associate's degree in Office Occupations or Office Technology; OR
Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.
College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis. Professional Competencies
• Exceptional organizational and project coordination skills, with meticulous attention to detail and a commitment to accuracy.
• Ability to manage multiple competing priorities, adapt to changing needs, and consistently meet deadlines in a fast-paced environment.
• Ability to exercise sound judgment and discretion when handling confidential and sensitive information.
• Strong written, verbal, and interpersonal communication skills, with the ability to effectively engage and collaborate with a wide range of stakeholders.
• Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Excel, and Word) and other business productivity and collaboration tools. Preferred Qualifications
• Bachelor's degree in Business Administration, or a related field, from an accredited institution.
• Two years of experience providing administrative and operational support, including complex calendar management, travel coordination, meeting logistics, and prioritization of competing demands.
• Experience coordinating events, convenings, or programs involving multiple stakeholders, including managing logistics, communications, registrations, and participant support.
• Experience working in a higher education institution providing administrative and operational support.
