Temporary Coordinator, VIP Experiences

Title: Temporary Coordinator, VIP Experiences Industry: Entertainment Location: New York, NY Duration: 12 months Responsibilities Coordinate printed and digital event assets, branded collateral, signage, guest-facing materials, and other on-site support materials. Manage guest lists, hotel rooming lists, credentials, event documents, schedules, planning trackers, and deliverable updates. Support premium ordering, inventory management, shipping, vendor coordination, and organization of event supplies and materials. Coordinate with internal departments, vendors, agencies, venues, and other stakeholders to ensure timely and accurate event preparation. Provide administrative and on-site event support, including invoice processing, budget tracking, guest check-in, issue escalation, meeting notes, and post-event closeout. Requirements At least 1 year of experience in marketing, events, sports, entertainment, hospitality, guest services, administration, or a related field; a bachelor's degree or equivalent experience is preferred. Strong organizational, administrative, communication, accuracy, follow-through, and time-management skills, with the ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Excel, Word, Outlook, and PowerPoint; experience with Canva or similar tools is preferred. Ability to work independently and collaboratively across a highly matrixed organization while handling confidential information with discretion. Event logistics, hospitality, guest-list, credentialing, vendor-coordination, or on-site event experience is preferred; flexibility to work nights, weekends, holidays, travel, and on-site events is required as needed.
