Grant Funded Pediatric Dental Treatment Coordinator Position Control Number TC-26-130-01

U.M. FDSP Associates is a non-profit affiliate of the University of Maryland School of Dentistry. U.M. FDSP Associates is the organization that provides patient care focused staffing for the clinic operations so that faculty and students may provide patient care to the general public. Hours of operation are Monday through Friday with no weekends. This position is funded by a patient service agreement between Baltimore City Department of Social Services ( BCDSS ) and University of Maryland School of Dentistry ( UMSOD ) to support access to dental care services for the children and youth committed to BCDSS care and custody (foster care). Under limited supervision, will act as a patient advocate, provide patient support for clinical dental treatment, assist with documentation, reporting requirements, medical record release request, and financial administrative assistance. Will act as a liaison between patients, BCDSS staff, UMSOD staff, and UMSOD students, residents, and faculty. Conducts a variety of administrative tasks related to the efficient operation of the Pediatric Dentistry program and is an adjunct to the patients, insurance, and business team.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Acts as a patient advocate, acquainting BCDSS staff and patients with policies and procedures relevant to their care while providing excellent customer service to them internally and externally regarding information, treatment, and financial matters. Meets with faculty, staff, dental students, and residents on a regular basis to assist with patient management to enhance the UMSOD and BCDSS experience. Reports to the Faculty Site Director, Pediatric Dentistry Clinical Director, and the department chair with regular updates, program documentation metrics, matters of concern. Communicates regularly with Office Manager regarding patient matters, issues and concerns. Schedule and coordinate dental care services for BCDSS referred youth through the Making All The Children Healthy ( MATCH ) program. Services in the Pediatric Dental Clinic are typically provided by third- and fourth-year dental students (pre-doctoral students) under the close supervision of experienced faculty dentists. For patients with more complex dental needs, services are provided by post-doctoral residents (dentists completing an additional two years of specialty training in pediatric dentistry). Ensure that children referred to by MATCH are scheduled as promptly as possible, subject to normative School of Dentistry scheduling practices and policies, for access to routine dental care services. Ensure that children referred by MATCH who need more urgent dental care services (not emergency cases from a healthcare standard) are scheduled for the earliest available time within a 60-day timeframe. Assist patients referred by BCDSS for emergency dental care services. Ensure that these patients are accommodated in Pediatric Clinics on a walk-in basis during working hours. Referrals for routine or specialized dental care services based on age of youth, diagnosis, or required treatment, etc. Provides individualized coordination of care and quarterly reviews of patient charts to ensure proper procedure and protocol are being followed by providers. Audit patient records to ensure balances are accurate and up to date. Manage all in-process treatment to ensure timeliness of treatment progression. Consent Requirement: Verify that for the referred patients, BCDSS has the appropriate legal authority to consent to dental care via a Court Order. Consent is required from the Healthcare Decision Maker and could be completed in advance of the appointment. Ensures submission of dental care services documentation to the MATCH program within three days of the appointment. This documentation pertains to the completion of the health assessment form that BCDSS staff will bring with them at the time of the visit. Ensure that the Record Release Form is completed for all release of medical records request and is submitted to the Office of Clinical Affairs at UM U SOD. Follow-up with Clinical Affairs to ensure these requests are processed within 21 days of submission. All documentation may be sent to MATCH by FAX to View phone number on click.appcast.io. Assist MATCH Program and BCDSS with all requests for pertinent documentation and reports, subject to applicable laws and regulations. Responsible for data tracking and production of reports that include but are not limited to: Appointments: completed/missed/rescheduled, Description of care performed, Follow-up instructions, Referral for additional care, Date and time of next appointment, Documents received, and Documents provided to MATCH for youth’s official healthcare record. Participate in contract performance monitoring meetings date to be determined monthly after contract execution. Assist as needed with the process of invoicing BCDSS on a quarterly basis for agreed upon costs and furnishing required back-up documentation. The invoices’ submission will be October, January, April, and July.

EDUCATION

Minimum associate degree and two years’ experience in a health care field, preferably in clinical dentistry. Excellent oral and written communication skills as well as a professional demeanor. Knowledge of enterprise-wide computer applications. Registered Dental Hygienist preferred.
