Salary: $75,000 - $85,000/annually

Location: Remote (US-based)

At the Vander Weele Group, we are a leading provider of grant monitoring and federal oversight solutions. We leverage deep domain expertise to streamline compliance management processes, mitigate risks, and enhance transparency across critical nationwide programs. 

We are seeking a Proposal & Marketing Communications Specialist to manage our proposal-writing process, craft compelling response content, and amplify our brand presence across social media channels. In this role, you will collaborate closely with our Capture Manager and Subject Matter Experts to build winning proposals while driving engaging marketing content that highlights our agency’s vision and impact.

Success in this role means managing a high-quality proposal and digital outreach process that delivers compliant, persuasive solicitations and builds strong brand engagement. 

You will:   

• Drive End-to-End Proposal Management: 
  • Lead kick-off meetings, coordinate team deadlines, assemble content, and ensure 100% compliant, on-time submissions for all government opportunities. 
• Craft Compelling & Tailored Content: 
  • Collaborate with Subject Matter Experts to synthesize complex project methodologies, work plans, and capabilities into clear, winning proposal narratives. 
• Amplify Brand & Digital Presence: 
  • Translate company wins, oversight impact, and industry expertise into engaging social media posts that grow our online reach and align with branding guidelines. 
• Maintain Content & Process Integrity: 
  • Continuously refine in-house proposal content management systems and tailor messaging to stay competitive and aligned with our Style Guide. 

You'll Own

• Managing the full proposal lifecycle from kick-off to submission, including completing forms, tracking internal deadlines, and submitting final packages. 
• Writing, editing, and formatting  compliance-related , organized proposal materials (work plans, staffing, budgets, and project approaches) tailored to each solicitation. 
• Liaising with internal business units, SMEs, and leadership to gather critical information and incorporate feedback across revision rounds. 
• Managing and updating the in-house proposal content library to revise, repurpose, and optimize content for future pursuits. 
• Creating, scheduling, and managing social media content across professional platforms to highlight Vander Weele Group’s impact, team achievements, and industry insights. 
• Ensuring all written proposal and social media content complies with Vander Weele Group’s branding guidelines and Style Guide. 
• Analyzing competitor proposals and post-mortem feedback to continually strengthen our market positioning and sales strategies.

• You hold a Bachelor's degree in Journalism, Communications, English, Marketing, or a related field. 
• You have 3–5 years of experience in government proposal writing and proposal process management. 
• You have demonstrated experience managing corporate social media channels (e.g., LinkedIn) and creating professional digital content. 
• You can synthesize complex, technical project details and processes into clear, compelling narrative text. 
• You possess advanced proficiency in MS Office 365, particularly complex Microsoft Word document formatting. 
• You bring exceptional planning, organizational, and project management skills with the ability to manage multiple deadline-driven proposals simultaneously. 
• You demonstrate strong interpersonal skills, high integrity, and the resilience to handle high-stress situations effectively. 
• You are comfortable working remotely and engaging with team members across multiple U.S. time zones.
