divh2Administrative Assistant Plastic Surgery Department/h2pLocation: Methodist Professional Centers 1 2 Schedule: MondayFriday, 8:00 AM5:00 PM (Onsite) Training: 6 weeks (onsite)/ppOverview/ppThe Administrative Assistant plays a vital role in supporting surgery scheduling for the Plastic Surgery Department. This position works closely with Operating Rooms, Outpatient Surgery Centers, the Ortho Trauma Department, and various surgeons. We are seeking a detail-oriented, proactive team member who is committed to delivering an exceptional patient experience in a fast-paced, collaborative environment./ppWhat Makes a Successful Candidate/pulliPositive Team Contributor: Demonstrates a patient-first mindset and fosters a compassionate, professional atmosphere./liliGrowth-Oriented: Actively seeks opportunities to develop both personally and professionally within the scheduling team./liliStrong Customer Service: Provides clear, timely, and professional communication to patients and colleagues./liliSelf-Starter: Manages workload efficiently, demonstrates initiative, and excels at time management./liliDetail-Focused: Ensures accuracy and thoroughness when processing surgery orders and patient communications./liliEffective Order Management: Maintains timely communication with patients and ensures accurate and prompt scheduling updates./liliAdaptable: Able to successfully navigate a large organizational structure and collaborate across departments./li/ulpKey Responsibilities/pulliProcess and review surgery orders to ensure accuracy and completeness./liliCommunicate proactively with patients regarding scheduling, updates, and required information./liliCoordinate with surgeons, OR teams, outpatient surgery centers, and departmental staff./liliSupport administrative tasks such as scheduling, calendar management, and responding to inquiries./liliMaintain professionalism in all communication and uphold departmental service standards./liliAssist with basic administrative and technical support for leaders and teams, including meeting coordination, travel arrangements, and invoice processing./liliAddress routine administrative or technical issues as needed./li/ulpPreferred Skills/pulliStrong Communication Skills: Ability to interact professionally with patients, providers, and colleagues./liliMedical Office Experience: Familiarity with clinical workflows and medical office procedures./liliSurgery or Procedure Scheduling Experience: Experience reviewing orders, coordinating surgeries, and verifying required details./liliProject Management Skills: Ability to manage multiple tasks and deadlines effectively./liliAttention to Detail: Ensures accuracy in documentation, order entry, and communication./liliInsurance Knowledge: Understanding of insurance plans and requirements./liliTechnical Proficiency: Experience with EMRs, email, Microsoft Teams, and phone systems./liliMedical Terminology: Working knowledge to support accurate communication and documentation./liliAbility to Navigate Corporate Systems: Comfortable working within a large, complex organizational structure./li/ulpQualifications/pulliHigh School Diploma or GED required./lili03+ years of relevant experience; prior administrative experience preferred./liliExperience working in a matrixed or complex environment is a plus./liliBasic proficiency in Microsoft Office (Word, Excel, PowerPoint) required./li/ul/div
