In March 2026, NEW INC moved into its own dedicated space within an expanded New Museum, designed by OMA / Shohei Shigematsu and Rem Koolhaas. Role Summary: This is a full-time non-exempt position with regular working hours of 40 hours per week, Monday to Friday, 10:00 am - 6:00 pm. Flexibility to support evening and weekend work is expected during high-activity periods. This position is a union-represented position subject to terms of the Museum's agreement with Local 2110, UAW, and is eligible for the New Museum's employee benefits programs. Responsibilities:
In March 2026, the museum expanded its campus with a second building adjacent to the current site. The new seven-story, 60,000 square foot building includes three floors of galleries, doubling the Museum's exhibition space, along with additional space for the Museum's many community and education programs, a permanent home for its cultural incubator NEW INC, as well as increased public amenities. - Own the day-to-day coordination and execution of production assignments, ensuring timelines, task management systems, documentation, and communications remain current and accurate throughout the project lifecycle.
- Coordinate production for NEW INC's year-round hybrid program, including public programs, internal community events, meetings, workshares and skill shares, Track showcases or exhibitions, partner programs, and the annual DEMO festival.
- Manage event logistics from planning through completion, including technical production, work requests, vendue and vendor coordination, load-ins and de-installs, materials and supply orders, catering, setup, and pack-down.
- Maintain accurate and accessible production timelines and documentation, including Asana boards, timelines, budgets, runs of show, vendor trackers, event files, and letters of agreement.
- Maintain production timelines, Asana boards, production documentation, runs of show, vendor trackers, and event files to ensure projects are current, transparent, and accessible to the broader team and Museum at all times.
- Serve as the primary point of contact for production vendors, suppliers, venue representatives, and relevant Museum departments.
- Provide regular project status updates, communicate potential delays as early as possible, and escalate risks before they impact production timelines or other team members or departments.
- Coordinate event-related digital materials, including Zoom webinar setup, Keynote or PowerPoint assets, and other platforms, in collaboration with the Marketing and Communications Assistant.
- Develop and maintain an inclusive and diverse roster of vendors for us to work with across photo/video, fabrication studios, audio, visual, and equipment rentals, etc
- Review applications for membership with the rest of the NEW INC team. NEW INC's open call happens annually, and all team members review applications.
- 2-4 years of production and event management experience (exhibition, performing arts, festival, art/design/tech fairs, panels, or symposiums).
- Exceptional organizational skills with strong attention to detail and a commitment to maintaining accurate project documentation.
- Experience maintaining project management systems (Asana or equivalent) for multiple stakeholders.
- Ability to maintain and advance multiple production timelines and deadline-driven projects at the same time.
- Demonstrated experience coordinating teams of vendors, including production labor, audiovisual or documentation providers, and food/beverage providers.
- Experience with virtual and hybrid event production
- Comfortable and confident in taking autonomous ownership over tasks within purview and are always anticipating the next move, striving to improve systems and processes at every turn.
- Ability to convey and transmit information between leadership, colleagues, and external partners in a succinct and clear way.
- Proven ability to identify risks early, communicate obstacles proactively, adjust project plans before deadlines are impacted.
- Strong follow-through and accountability for completing work from initiation through execution.
- Understanding of industry partnership structures, stakeholders, and relationship-building.
- Ability to apply discussed measures of success and programming priorities to production management.
- Proficiency in Asana, Zoom, WordPress, Mailchimp, and Microsoft Suite, and OneDrive is essential
