The Program Coordinator oversees the college's catering program, managing the full event booking process through coordination with internal departments and external clients, and the preparation of event orders. Responsibilities also include supervising and assisting with catering setups, monitoring accounts receivable, and providing direction and support to catering assistants. Essential Functions
30% - Manages auxiliary services related event bookings with main focus on catering events, by communicating with internal teams and external clients through email, phone, and in-person interactions: prepares and distributes banquet event orders (BEO's); assists program manager with ensuring proper workflow, documentation, approvals, signatures, and invoicing for Facility Use Agreements and Co-Sponsorship contracts for tracking and monitoring.
30% - Provides assistance with setup, service, and breakdown of catering events
20% - Generates and distributes invoices; tracks and manages accounts receivable to ensure timely payments
10% - Schedules and manages catering staff for events and assist with event services staff
10% - Assists with event room set-ups and fleet vehicle reservations, as needed; performs other Duties as assigned
Minimum Qualifications
Bachelor's Degree from a regionally accredited institution in education, business or public administration, or a directly related field and one year of experience in researching information, gathering data, performing preliminary analysis and preparing reports. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications
A. Two (2) or more years' experience in catering, hospitality or food service
B. Knowledge of health and safety guidelines related to catered events
C. Strong written and verbal communication skills (Application materials will be evaluated in this area)
D. Effective use of Microsoft Office (Word, Excel, Publisher) and catering/event booking software
E. Flexibility to work Saturdays and evenings as scheduled events dictate
F. One (1) year of full-time relevant MCCCD experience during the previous two (2) years Special Working Conditions
Must have a current Maricopa County Food Handler's Card or the ability to obtain one. Travel to campus during interview/selection process will be at candidate's own expense. Will be required to travel or be assigned to all MCCCD locations. May require numerous evenings or weekends. May require prolonged periods of viewing a computer screen. May be required to lift or carry up to #25 lbs. Possession of a valid State of Arizona Class D Driver's License is required; employee must meet district minimum standards regarding driving:
